PROVAIL has exciting opportunities for a Receptionist to join our team! In this role you will support business activities through a variety of clerical and administrative tasks including greeting and directing clients and visitors, answering phone calls, maintaining common workspaces, and managing calendars.

This position does not support remote work and requires the ability to be on-site at our North Seattle headquarters.

They created some of the first community services for individuals with cerebral palsy and other severe disabilities in the area. What you’ll do:

  • Welcome visitors and clients, secure identification, and confirm reason for visit. Issue visitors' badges and register them as required by company procedures. Respond to questions and inquiries.
  • Announce clients and direct them to the proper office when authorized.
  • Manage incoming phone calls and emails to the company's general inquiry lines of communication. Answer, screen, and direct calls and emails to appropriate company representatives in a warm and friendly manner.
  • Handle incoming and outgoing mail correspondence and deliveries. Distribute incoming mail to appropriate individuals.
  • Perform general clerical support tasks including filing, preparing mailings and packets for distribution, copying, scanning, printing, and data entry.
  • Maintain general organization and cleanliness of common office areas and conference rooms.
  • Check office supply inventory and restock as needed.
  • Book meeting spaces and make other arrangements related to client visits and meetings.
  • Maintain internal schedules and calendars for the organization including adding events and meetings to shared calendars, updating event information, and recording appointments and time off.
  • Special projects as assigned.

What you’ll bring:

  • High school diploma or equivalent.
  • Basic understanding of administrative and clerical procedures in an office environment, including filing, phones, and other standard office equipment.
  • Proficient with Microsoft Office including Word, Excel, Outlook, or related software. Prior experience with Google Suite is preferred.
  • Excellent written and verbal communication skills including ability to maintain a high level of professionalism.
  • Excellent interpersonal skills and customer service attitude.
  • Must be comfortable working with individuals with disabilities, some of whom may be challenged with more conventional means of communication or with disabilities that present outside of the scope normative behavior.
  • Ability to relate effectively to clients with a wide range of behavioral needs.
  • Ability to prioritize, schedule, and multi-task while maintaining high attention to detail.
