Team Gilbert has an exciting opportunity for a highly motivated professional to fill the position of Police Records Specialist II.

The Police Records Specialist II reports to the Police Records Shift Supervisor. The primary purpose of the Records Specialist II role is to perform redaction work for the Police Department Records Team. Based upon assignment, incumbents will perform any/all of the duties of a Records Specialist I with a focus on reviewing requests, evaluating content for redaction, and performing the technical process of redacting the content and applying the redactions to the business record. Repetitive viewing of BWC videos involving nudity, dismemberment, death, abuse, and trauma. Individuals in this position are exposed to negative auditory and visual stimuli on a regular basis.

Essential Duties and Responsibilities Include:

  • Processes all requests for police reports or records and reviews all submitted documents for validity, accuracy and completeness.
  • Scans and indexes records into electronic document management systems and assists with records filing, retention, and destruction.
  • Reviews submitted police officer reports for validity, accuracy and completeness and consults with officers, detectives and supervisors as needed regarding report discrepancies.
  • Performs high level redaction of requested police records deemed sensitive in nature by the assigned detective or supervisory staff. Redactions are based upon Federal Freedom of Information Act and state/local laws and guidelines pertaining to the security of personal and/or law-enforcement sensitive information.
  • Collects and processes cash and credit card payments for records that are provided.
  • Fulfills 911 and dispatch audio requests by extracting applicable audio files and applying the necessary redactions using specialized software.
  • Provide time sensitive administrative support to the Prosecutor’s office and Maricopa County Attorneys Office in gathering digital evidence to aid in prosecution.
  • Provides homicide/death reports to ASU in accordance with a long standing data sharing agreement.
  • Other duties as assigned.

  • High School Diploma or GED;
  • Must be a current Gilbert Police Department Records employee.
  • At least two years of experience as a GPD Records Specialist I preferred.
  • Bilingual in English and Spanish is desirable;
  • Possess and maintain a Level A Terminal Operator Certification within six months of hire date
  • Successful candidates will consistently demonstrate strong verbal, written communication and phone etiquette skills, strong organizational skills with attention to detail, be proficient in Microsoft Office products, and demonstrate the ability to handle confidential information;
  • Successful candidates will be customer service oriented. He/she will also show proficiency in working independently as well as with a team, able to prioritize work, and demonstrate the ability to build effective working relationships with internal and external customers;
  • Record Specialists work rotating shifts.

Special Requirement: Because of the confidential, sensitive nature of information handled, successful completion of a background investigation and polygraph is required.

This position is an At-Will position and is FLSA Non-Exempt - eligible for overtime compensation.
