Primary Functions:

This is a key position in the day-to-day operations of the safety department. Assist the Safety Director in managing and monitoring the company’s safety program. This positon will perform a wide variety of administrative tasks and serve as a key role in the overall success of the Safety department. This role is fast-paced and demands expertise in multi-tasking. This position requires a versatile and reliable person who will perform at a high level of efficiency and effectiveness in dealing with challenging individuals and situations as well as confidential information. You will report directly to the Safety Director.


Position Responsibilities:

This role will focus on assisting the Safety Director to lead the Company’s Safety Program to protect the health and safety of the employees, clients, and public. In conjunction with the Safety Director, you will help oversee all aspects of the Safety Program through Corporate, Division, and Jobsite Safety personnel. As the Safety Assistant you will assist the Safety Director with inspecting and monitoring company’s safety compliance. Assist with accident reporting and correspondence.


Position Requirements:

  • Maintain timely and accurate accident files.
  • Assist Safety Director with monthly accident summaries.
  • Assist Safety Director with monthly “Tool Box” safety meeting compliance and safety exchanges.
  • Review and update company programs to meet state and federal requirements.
  • Encourage and exhort supervisors and employees to maintain a safe working environment.
  • Assist with company’s safety incentive programs.
  • Seek feedback from employees, peers and company officials and seek to improve own performance.
  • Enter into spreadsheet and file all Toolbox Safety data; audit logs; audit reports.
  • Assist in getting safety Sense prepared and mailed quarterly.
  • File incoming insurance claims.
  • Help coordinate appropriate Safety training to all company supervisory and safety personnel. Ensure that all training is effective, timely and well documented.
  • Compliance auditing
  • Participate in office safety committee.
  • Assists on Safety Leadership team meetings.
  • Prepares minutes and data for Central Safety Committee meeting each month.
  • Maintains Independent Hauler contracts and insurance compliance.
  • Maintains Service / Vendor contracts and insurance compliance.
  • Enters training information into Success Factors.
  • Input truck data into JWS and Libra for Kentucky Hauling Inc.
  • Input truck data into JWS and Libra for Independent Haulers
  • Update monthly open insurance claims report
  • Additional duties will include data entry for safety initiatives, as well as monthly, quarterly and annual reporting in relation to MSHA/OSHA/DOT


Minimum Qualifications:

  • High School Diploma or equivalent required; degree or certification in Safety related field preferred.
  • 3 years’ work experience in an administrative assistant role required; Safety programs experience desired.
  • Working knowledge of OSHA rules and regulations required.
  • Background with construction or similar industry required
  • Well experienced in teaching, communicating and with dealing with employees and regulators.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office
  • Possess solid data-entry and organization skills
  • Ability to work in a fast paced environment and multi task as needed.
  • Good decision making skills.
  • Detail oriented
