The Builder Integration Coordinator’s primary responsibility is to be the connection between clients, potential clients, and Inspectors to ensure proper scheduling for various visits our company performs.

Position Overview

We are looking for a Integration Coordinator to expand our dynamic team. This position will augment our Builder Integration in our Eagan, MN office. A good candidate would have prior experience working in - and be comfortable with - databases (internal and external) and Microsoft Office (Word, Excel, Outlook) in a fast-paced environment. A perfect candidate would also have some exposure to the residential building trades and their terminologies, especially framing, foundations, or IRC (International Residential Code) inspections.

Qualifications

Previous Administrative experience preferred in that a series of processes, often interrupted by higher priority tasks, must be completed every day. This demands an ability to plan ahead and organize your day, concentrating on correctly entering data in an expeditious manner, but also able to quickly “shift mental gears” to handle phone calls or other interruptions and still pick back up where the prior process was parked. Some of the skills necessary to be successful at this would be:

Desired Office Skills (demonstrate intermediate to advanced ability in):

  • Windows 10 Pro (folder/file navigation within a computer, multiple servers, and shared drive)
  • Excel (file management, cell/text formatting, table sorting/filtering, basic suite of formulas with ability to duplicate them across cells, copying/pasting data between spreadsheets, ability to at least execute macros)
  • Word (file management, template renaming, text formatting, field data entry, copy/paste)
  • Outlook (email and folder management within personal and email group settings, sorting/searching, attaching/detaching files and images, contact list management, calendar management)
  • Adobe (creating pdf files from non-Adobe files, merging/unmerging groups of files)
  • Ability to manage over 700 transactions a day, split between the scheduling team.
  • Excellent attention to detail is a must.

Primary Responsibilities:

  • Analyze and monitor information from the operation software of the client(s) daily.
  • Answer company-wide incoming calls and emails. (HIGH CALL VOLUME – MULTIPLE PHONE LINES)
  • Effectively onboarding clients, scheduling visits or engineering work while following procedure.
  • Monitor client construction schedules regularly (daily, weekly, or monthly depending on client) in order to schedule data collection visits accordingly for every home in the schedule.
  • Proactively communicate with clients and coworkers regarding any issues with a home in an attempt to discover opportunities and maximize our customer service experience.
  • Reach out to clients to confirm correct date for inspections needed and other information that may be needed.
  • Help management stay in touch with builders regarding missing and/or needed information (accounting, contracts, etc.)
  • Other duties as assigned.
