Job description
The Seasonal Customer Service Representative is a temporary position that can turn permanent. The role will join our LTL (Less Than Truckload) Customer Service Team from mid-September to December in our Gainesville, GA office. The Seasonal Customer Service Representative will communicate directly with a high-level customer in the day-to-day support of petroleum product movements from Mansfield’s supplier base to its customers’ locations nationwide. This position is for 90 days and can be full-time or part-time working 20 - 40 hours per week.
Responsibilities
Customer Service
- Receive customer calls/emails using a pleasant and helpful strategy
- Make outbound calls for customer setups
- Identify customer needs
- Identify customer problems and resolve timely either directly or through other departments for resolution; maintain communication with the customer throughout the process
- Immediately contact the appropriate group(s) when a customer requires additional service and ensure a successful transfer of the call (if need be) is made to the appropriate person
Data Entry
- Enter orders into the ERP system timely and accurately
- Enter customer information/site information for billing in the ERP system
Logistics Coordination
- Schedule, coordinate, and manage LTL freight pickups and deliveries from supplier base to customer locations nationwide
- Follow-up and follow-through with items to ensure that problems are resolved
- Organize resources so that information can be accessed quickly when needed
Billing
- Some of the seasonal work may involve billing
- Run daily reports and analyze issues and proactively resolve pending transactions
- Research, identify and resolve cost, tax, and data related issues on invoices
- Collect, track, and reconcile vendor statements and resolve pending issues timely to prevent future invoicing problems
Position Requirements
Formal Education & Certification
- High School Diploma or equivalency required
Knowledge & Experience
- Must have at least one year of professional work experience, preferably in customer service, data entry, or billing
- Must have a strong technical aptitude / ability to learn new software easily
- Intermediate to Advanced Excel proficiency desired for working in Billing
Qualifications & Characteristics
- Must sound professional on the phone
- Must possess strong written and verbal communication skills as well as strong interpersonal skills
- Self-motivated personality with exceptional attendance and punctuality
- Strong attention to detail
- Strong problem-solving / critical thinking skills
Work Environment
- 20 - 40-hour on-site work week
- Sitting for extended periods of time
- Dexterity of hands and fingers to operate a computer keyboard, mouse, power tools, and other computer components
