Job description
- Point of contact for faculty, staff & students for daily operations to include, but not limited to, vehicle, meeting, and room scheduling, reception duties; manages Physio Listserv, faxing and scanning of documents; mail distribution and preparation, scheduling, set up and clean up for meetings and events, maintains & serves as facilitator for office equipment, schedules repairs & contract renewals, responsible for departmental vehicles usage log & maintenance, submits work requests, initiates POs for department & ensures work is processed & completed, communicates requests or issues to housekeeping ensuring standards are met, manages keys to offices and labs, records distributions and returns, scans signed documents to Asset Management, submits badge requests & building access for faculty, staff, students and volunteers through myUFL, coordinates office set up and IT service requests for the onboarding of new staff and faculty, as well as other related duties as deemed appropriate by supervisor.
- Responsible for submitting travel authorization, obtaining receipts and supporting documents for expense reports, general reimbursements and cash advances. Serves as delegate for faculty, staff & students, enters travel information into myUFL UF GO Travel/PCard module, tracks travel to its culmination. Checks travel categories of accounts to make sure appropriate funds are available and confers with appropriate FSO accountant if there are insufficient funds. Assists with travel arrangements as needed and serves as proxy for faculty’s PCard charges when necessary. Facilitates itinerary, travel arrangements & accommodations for visiting faculty & faculty candidates.
- Serves as designated AAR, and aids the Physiological Sciences Teaching Program; Responsible for obtaining a course syllabus, from assigned faculty members, to assist in the timelines of the following responsibilities, assigns faculty to designated courses, assists Academic Administration in obtaining exam material and images to be uploaded into the Exam Soft and Canvas system. Manages the teaching evaluation process by maintaining a schedule of course by service to be evaluated and cross reference in myUFL GatorEval system to ensure all eligible teaching faculty and staff are populated into the evaluation program. Provides the Office of Students and Instruction with any data related to the overall program and final evaluations. Inputs contact hours into the AAR Couse Section.
- Manages facility space allocation and room assignment, prepares annual report by collecting information from the faculty and staff on how the buildings and rooms are being utilized including staff and projects conducted in the space. Entering & certifying data into the Space Inventory and Allocation System (SPIN) program. Manages department assets inventory & accounting allocation schedules unused or damaged assets for transfer or Surplus pickup, and arranges delivery for new purchased items.
- Assists the Administrative Specialist in fiscal operation of Department, to include, but not limited to, attending departmental meetings with the Administrative Specialist and Department Chair, assists in reconciling Physio Department General Revenue & Foundation accounts, running monthly reports through Enterprise Analytics, exporting & importing Excel spreadsheets and/or any other account management system. Assists with the implementation of any organization changes and/or new accounting or clerical procedures. These activities will be performed in consultation with the Administration Specialist.
- Responsible for submitting IT account requests, service requests, software renewals, repairs & quotes for purchase of new or replacement equipment for Physio faculty, staff & students.
- Maintaining & keeping Physio website up to date, uploading images & content, posting announcements, announcing new faculty, staff & graduate students
$15.91 - $19.61 per hour
High school diploma or equivalent and four years of relevant experience.
- Outstanding computer knowledge and skills.
- Knowledge and experience with various software applications, i.e. myUFL, Concur, OnBase, Exam Soft, Canvas, Adobe Acrobat Pro, DocuSign, Drop Box, Microsoft One Drive, PowerPoint, Excel, Word, and Publisher
- Ability to collect, compile and analyze data.
- Excellent communication skills verbally and in writing.
- Excellent computation and letter writing skills with the ability to use correct grammar, punctuation and spelling.
- Ability to maintain confidentiality with sensitive materials.
- Ability to work independently, plan, prioritize, organize, problem solve, direct appropriate action in a professional manner.
- Ability to maintain effective communication with supervisor, faculty and staff.
