Job Overview

Davies US is looking for a knowledgeable Senior Payroll Specialist to process and manage the company’s bi-weekly and semi-monthly processing of payroll in a timely and accurate manner as well as process and manager associated reporting and analytics. Reporting to the SVP, Human Resources, North America; or specified designee, you will establish policies and processes that ensure accurate calculation of wages, tax withholdings, and company deductions. To be successful in this role, you should be able to use payroll software with accuracy and efficiency, identify any discrepancies not in line with the current wage laws of each state and are trustworthy with sensitive and confidential information. This is a full-time, remote position.

Responsibilities and Duties

Payroll Processing

  • Establishes policies and processes that ensure accurate calculation of wages, tax withholdings and company deductions
  • In concert with HR teams, ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
  • Ensures proper processing of payroll deductions for taxes, benefits, 401k contributions, garnishments, and other deductions
  • Establish internal audit process to identify systemic problems concerning payroll administration and suggestion and/or implement appropriate solutions and improvement were necessary, ensuring Davies is always prepared for external audits
  • Prepares and maintains accurate records and reports of payroll transactions including quarterly and year end reporting
  • Interprets, apply, and ensure compliance with various federal, state, and local laws
  • Monitor changes and remain current on legal, regulatory, or governmental requirements (e.g., wage and hour, garnishments, tax matters, 401k(k) and other compliance areas)
  • Assists finance in related reporting and reconciling payroll to the general ledger
  • Ensures accurate and on time governmental reporting and compliance
  • Preparation, data entry into and maintenance of related payroll spreadsheets
  • Issues or reissues physical or replacement checks or direct deposits due to payroll errors or final discharge
  • Responds to payroll inquiries from HRBP’s and HR teams, including resolving employee pay issues
  • Identifies and recommends improvements to payroll processes and procedures
  • Work in concert with auditors for completion of any external payroll audits
  • Document standard operating procedures in support of business objectives and coordinate department documentation used for audits and procedures


Special Projects

  • Participate in the integration new acquisitions into Davies standard payroll practices
  • Conduct ad hoc analyses as applicable
  • Plan, coordinate, and manage the deliverables of special projects at the direction of the Senior VP HR and Shared Services team
  • Work cross-functionally, internally, and externally, to specify and drive special projects
  • Identify, track, and relay project risks; provide updates to appropriate parties
  • Other duties or projects as assigned


Experience and Qualifications

  • 8+ years of payroll and HRIS experience performing hands-on daily tasks
  • Extensive knowledge of the payroll function including preparation, balance, internal control, and payroll taxes
  • Solid understanding of accounting fundamentals and payroll best practices
  • Payroll Certification, CPP or FPC, highly desired
  • Proficient with Microsoft Office Suite or related software
  • Proficient with or the ability to quickly learn payroll software, experience with ADP Workforce Now a plus

  • Excellent verbal and written communication skills and ability to write or speak about complicated payroll
  • Demonstrate self motivation and ability to succeed in a remote team
  • Display discretion with sensitive and confidential information and maintain confidentiality


Essential Requirements

  • Must have US work rights
  • Knowledge of payroll function including preparation, balancing, internal controls and payroll processes
  • Multi-state payroll experience including California

Work Environment and Physical Demands

This role predominantly operates remotely from a professional home-based office environment routinely using standard office equipment such as computers, phones, printers, photocopiers, and scanners and requires prolonged periods of sitting at a desk while working on a computer. While performing the duties of this job, the individual will be required to regularly hear and talk. This is a largely sedentary role requiring the ability to sit at a desk, reach outward, use a phone, have use of fingers to operate office equipment such as a keyboard, mouse, phone, printer, copier, and to reach above the head, bend, or stand as necessary.


Position Type and Expected Hours of Work

This is a full time, salary, exempt position. The standard days and hours of work are Monday through Friday from 8:00 AM to 5:00 PM local time.
