Position Summary

The Special Assistant supports the Chief of Staff in the Office of the CEO (OCEO) by providing high-level administrative coordination, project management, writing and editing, research, and relationship management functions. In this role, you will interface with internal and external stakeholders to facilitate streamlined communication and collaboration. Reporting to the Administrative Services Supervisor, this role requires someone who's comfortable working independently and alongside executive leadership. While this position can be based remotely anywhere in the United States, you will need to primarily work 8:30 AM to 5:00 PM Eastern time zone hours to best support the Chief of Staff.

Responsibilities

  • Provide high-level, administrative support for the Chief of Staff to include scheduling and attending meetings, creating meeting agendas, managing meeting logistics, ensuring functioning meeting technology tools and appropriate follow-up
  • Read, draft, and edit documents and presentations (e.g. pitch decks) for internal and external audiences
  • Assemble, analyze, and communicate facts, evidence, and expert opinions related to areas of strategic importance to the organization
  • Keep abreast of the Chief of Staff's short- and long-term commitments to proactively identify potential support needs and opportunities for efficiencies
  • Serve as a resource to the team on special initiatives by completing background research, organizing project meetings to ensure clear agendas and action items, and filling in for capacity gaps to ensure action items are completed in a timely manner
  • Assume administrative responsibility in the Chief of Staff’s absence by ensuring requests for action or information are shared with colleagues who can satisfy requests and then monitor the resulting activity for purposes of briefing the Chief of Staff
  • Work collaboratively with the other staff members of the Office of the CEO and National Council employees to ensure timely execution of action items
  • Create and maintain a favorable image of the organization and the Office of the CEO, communicating in a professional, positive, and cordial manner
  • Support a portfolio of special projects for the Chief of Staff
  • Coordinate with administrative staff across the organization for scheduling and meeting management
  • Perform special assignments as needed

Qualifications

  • 4-6 years of executive assistance or project coordination experience in a dynamic remote work environment with multiple stakeholders and projects
  • Bachelor’s degree or an additional four years equivalent of professional experience
  • Superb project management skills using new technologies and tools such as Asana & CRM
  • Comfortable managing remote and hybrid meeting environments via Zoom & Teams
  • High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail and project deadlines and deliverables
  • Ability to navigate changing priorities and pivot with ease
  • Strong interpersonal and relationship-building skills with persons of all backgrounds, cultures, and affiliations
  • Lived or professional experience with mental health or substance use treatment preferred
