JOB DESCRIPTION
Blue Shield of California Foundation is an independent 501(3)(C) private organization funded solely through contributions by BSC. Its mission is to building lasting and equitable solutions to help make California the healthiest state and end Domestic Violence. Its newly refined strategy is to be a catalyst for large scale impact that addresses the root causes of health inequities and domestic violence.

Your Role

The Special Projects Manager reports to and supports the Foundation’s President and Chief Executive Officer (CEO). The Special Projects Manager supports the CEO in three primary ways.


First, you will proactively identify and determine the content for the materials needed by the CEO to prepare for meetings including synthesizing materials to develop coherent briefs and will both develop next steps/action and ensure appropriate follow-up is completed after meetings. Second, you will research issues and lead special, high priority projects for the CEO as well as development the content of presentations as needed. Third, the Special Projects Manager will coordinate with staff to develop and review the content for materials provided to Board members by CEO for quarterly meetings. The selected candidate will be an independent, proactive self-starter with excellent verbal and written communication skills and the ability to maintain grace under pressure in a fast-paced environment. The selected candidate also will also sit on the executive team and serve as a liaison between staff and senior leadership, providing input to the executive team on Foundation-wide matters related to culture, morale, and operations.

Your Work

In this role, you will:

Research and Content Development – 30%

  • Provide research, analytic and editorial support for CEO’s written documents, reports and articles and for external meetings. This entails developing initial content and drafts as well as strengthening sections of existing documents as needed.
  • Conduct targeted research, analyze data, and summarize reports and documents at the direction of CEO. Communicate findings from research and data analysis in concise written form or oral briefings.
  • As needed, support the development of talking points and selected public presentations for the CEO. Consult with appropriate Foundation staff on content and the Public Affairs Department for their review and guidance.

Special Priority Projects – 15%

  • Complete special projects of high priority assigned by the President/CEO. Deep content knowledge and strategic thinking will be needed to complete these projects. This work may include independently convening staff across departments and/or working with external experts to gather information, analyze findings and prepare a summary or make recommendations to the CEO.
  • Develop own content expertise by keeping abreast of important public health, prevention, and domestic violence issues at the local, state, and federal level. Share key points of emerging trends or new research with CEO, Executive Team and other staff. Assist the executive team in strategic initiatives related to Foundation operations, data collection, and analysis.
  • Work with the President/CEO to identify potential candidates for President's Discretionary Fund grantmaking, and work with selected grantees to develop project objectives, budgets, and other deliverables.

Oversee Development of Content of Board Materials – 35%

  • Working closely with the President/CEO and CEO's executive assistant (EA), identify, and help to develop where needed, content of materials needed for quarterly Board meetings. Develop and communicate deadlines to staff/content contributors, and create a review timeline that ensures materials are edited and finalized on time.
  • Draft sections of Board materials especially related to President's report.
  • Provide first review of materials and gather additional content to revise as needed.
  • Work with CEO to incorporate her input on all materials.
  • Revise all materials as needed and materials for quarterly Board book.
  • Generally, support and develop CEO's presentations, communications and preparations for and to the Board (including, e.g., Board and Committee meetings and between meeting communication).

Meeting Management & Support – 20%

  • Regularly review the President/CEO's calendar two weeks in advance and prepare briefing materials, working with appropriate foundation staff. Review and edit materials submitted by staff to ensure that they are high quality and meet the needs of the CEO.
  • Assess CEO's schedule to identify projects and presentations with longer lead times and coordinate with appropriate foundation staff to ensure all work is completed with time for review.
  • After each meeting, summarize action items and coordinate follow up for meetings with external parties.
  • Coordinate activities between foundation and outside parties and make high level contacts of a sensitive nature both inside and outside the company.
  • Manage and support CEO in national work and BSC related projects as needed.
  • Manage agenda-setting, operations, and follow-ups for Governance Committee meetings and pre-meetings with the Governance Committee chair; work closely with BSC Legal to receive input on committee best practices.

QUALIFICATIONS
Your Knowledge and Experience

  • Bachelor’s degree with a minimum of 3-5 years of experience, or a Master’s in Public Health with 1-3 yrs of experience or equivalent experience.
  • Ability to carry out all responsibilities with a high degree of autonomy.
  • Ability to work on multiple assignments simultaneously while meeting deadlines.
  • Relevant experience acting as a liaison between CEO and direct reports and others within and outside the Foundation.
  • Exceptional oral and written communication skills and ability to effectively communicate with a variety of internal and external stakeholders ranging from senior executives to junior level staff verbally and in written correspondence.
  • Ability to proactively anticipate needs and adjust processes and plans based on unforeseen circumstances.
  • Solid analytical and problem-solving skills.
  • Substantive knowledge of social determinants of health, root causes of poor health, and equity issues (racial, gender and economic).
  • Ability to thrive in a fast-paced environment. Positive, poised professional demeanor with excellent interpersonal skills.
  • A high degree of professionalism, excellent judgement, tact, initiative, and diplomacy and ability to manage confidential and sensitive information with complete discretion.
  • Expertise in working with Microsoft Office Suite (especially PowerPoint, Outlook and Excel).
  • Ability to occasionally provide evening support for projects and travel emergencies.
  • Communications experience a plus.

Pay Range:

The pay range for this role is: $109,120.00 to $ 163,680.00 for California.

Please note that this range represents the pay range for this and many other positions at Blue Shield that fall into this pay grade. Blue Shield salaries are based on a variety of factors, including the candidate's experience, location (California, Bay area, or outside California), and current employee salaries for similar roles.

Physical Requirements:

Office Environment - roles involving part to full time schedule in Office Environment. Due to the current public health emergency in California, Blue Shield employees are almost all working remotely. Based in our physical offices and work from home office/deskwork - Activity level: Sedentary, frequency most of work day.
