Job description
The Specialist Congress Management, Customer Visits and Plant Tours executes the planning and logistics for THV Customer visits to Edwards Irvine headquarters. Tasks will include meeting room, travel and logistics coordination for Irvine Customer Visits as well as Upstream HCP meetings. This position reports into the Director, Congress Management.

Key Responsibilities:
Program lead for all US Customer Visits on-site at Edwards Campus. (40 - 50 per year.)
Manage US Customer Visit Program for all THV Customer Visits by establishing program dates, reserving time with executive speakers including Advanced Tech, R&D, Manufacturing & Testing and Executive leadership as requested by customer representative.
Develop agendas and follow up with schedule changes and alternate speakers as needed.
Pre-planning, "day-of" execution and post event management of payments and invoices.
Provide excellent customer service to Sales Reps, and Customers/Physicians for highest level customer experience from arrival to departure.
Coordinate Physician Flights, Hotel Rooms and Ground Transportation via HCP Travel Request.
Schedule off-site welcome dinner within compliance meal rates.
Plan meeting logistics for room reservation, F&B, Audio Visual, and campus tours.
Processing CVENT requests and adhere to all compliance requirements for all visits.
Processing all expenses following the customer visit or program.
Develop, deploy and lead process improvement for operational efficiency
Support Travel logistics for Upstream Team HCP Meetings (Voice of Customer)
Support Travel and Logistics for Benchmark Program (on location at Hospitals across US.)

Minimum Requirements:
Bachelor’s degree
Three years of strong and complex meeting planning experience and proficiency in Outlook

Additional Skills:
Excellent communication skills both verbal and written are required
Strong organizational skills with attention to detail
Expert level knowledge of Outlook for Meeting Room Reservations and calendaring Speakers and Tours
Ability to multi-task and organize multiple ongoing activities on a weekly basis.
Ability to maintain calm demeanor under pressure and manage changes professionally.
Experience managing travel for executive level customers.
Excellent computer skills including usage of Microsoft Office Suite and related business systems
Able to read, comprehend, write and speak English
Experience with basic project management preferred
Full knowledge and understanding risk of HCP interaction and strictly adhere to AdvaMed code of ethics
Full knowledge of HCP (Healthcare Providers) expense policies
Full knowledge of business systems (e.g., CVENT, Concur, Travel Request Processing)
Excellent problem-solving skills
Ability to build and maintain strong relationships across the organization to influence and achieve objectives
Ability to prioritize competing objectives in a fast-paced environment
Must be able to work in a team environment, including inter-departmental teams, HCP, and external suppliers and vendors
Adhere to all company rules and requirements (e.g., pandemic protocols, Environmental Health & Safety rules) and take adequate control measures in preventing injuries to themselves and others as well as to the protection of environment and prevention of pollution under their span of influence/control

For California, the base pay range for this position is $63,000 to $90,000 (highly experienced).

The pay for the successful candidate will depend on various factors (e.g., qualifications, education, prior experience).
