Description:

The Specialist will coordinate the planning and organizing of all internal business-related functions, sales meetings, POA’s, etc. for Specialty Care. In addition, this role will support the team with external customer events. The role will report to the Lead, Global Events and is based in Cambridge, MA.

Responsibilities:

  • Site selection and contract negotiation for all types of internal meetings and conferences

  • Budgetary management, financial reconciliation and post-meeting reporting to identify cost-savings achieved.

  • Provide hands-on event project management for all program logistics, including attendee registration and data management, food and beverage selection, speaker liaison, Audio-Visual needs and offsite venues

  • Provide on-site meeting management – independently and as part of a team environment.

  • Collaborate with internal clients and business partners to offer strategic and creative solutions that align with business and event objectives.

  • Build strong relationships with Leadership and Stakeholders and be the Subject Matter Expert on meetings and events

  • Provide technical and analytical support on strategic meetings management projects.

  • Work directly with and collaborate with Logistics Agency and Production Agency

  • Keep current on key issues that may affect the company’s travelers and communicate as necessary on these issues.

  • Ability to travel approx. 50%, including some weekends

  • The creation and maintenance of registration websites and mobile apps, management and statistical analysis of attendee data, and technical problem solving in Cvent products (including Event Management, Crowd Compass, and Onsite Solutions).

  • Designing online registration websites, surveys, and apps in Cvent according to branding & pertaining meeting information.

  • Ability to collect essential information from meeting owners in order to create an effective website.

  • Strong organization & time management skills with the ability to manage multiple responsibilities while maintaining high quality standards.

  • Attention to detail, accuracy in spelling and grammar.

Qualifications:

Requirements:

  • Bachelor’s degree and 5 years of meeting planning experience in professional setting preferred

  • Proficient in MS Office skills including Word, Excel and PowerPoint.
