The Student Life Assistant is responsible for providing excellent customer service and related office functions for Student Life. The position provides assistance in the coordination of services, resources and events developed by Student Life, which are designed to increase student success through engagement and retention. This position reports to the Director of Student Life.

The Student Life Assistant is responsible for providing excellent customer service and related office functions for Student Life. The position provides assistance in the coordination of services, resources and events developed by Student Life, which are designed to increase student success through engagement and retention. This position reports to the Director of Student Life.
Responsibilities:
Provide exceptional customer service as first point of contact for Student Life; answer questions about Student Life functions, additionally, must have general knowledge of college activities, opportunities, and departments to answer questions and phone calls.- Maintain club data: Constitutions, rosters, Club Plan of Actions, End of Year Reports, advisor stipends, and advisor contact information.
- Maintain Student Club Handbook; update club forms and documents.
- Validate funding requests for club travel and funding transfers.
- Review and reconcile department monthly budget report.
- Review and process department requisitions.
- Work with Student Accident Insurance.
- Perform Banner downloads and uploads to insurance provider multiple times per semester.
- Cross reference reports to ensure appropriate students are receiving accident insurance. Reconcile accounts annually.
- Work with Program Assistants, IT, Registrar, students, and faculty to resolve issues.
- Oversee CVTC Food Pantry.
- Primary contact with Feed My People; Order food; Track budget; Fundraise; Recruit and supervise work study and volunteers; Promote service.
- Project manager for updating Student Handbook.
- Provide specifications and request proposals from publishers.
- Initiate contact with involved departments for section updates; Marketing requests for cover artwork and maps; Coordinate dates for calendar; Review all sections of handbook and final proof from publisher.
- Assist with the coordination of commencement.
- Update MyCVTC; Oversee and facilitate graduation tickets requests and distribution; Create ceremony brochure by verify candidate eligibility and Banner downloads; Coordinate and oversee volunteers and graduates during ceremony check-in; Coordinate photographer and reception; Completes requisitions.
- Housing coordinator for CVTC students seeking housing at UWEC.
- Liaison with UWEC housing office regarding processes and procedures for CVTC students housed at UWEC; Ensure FERPA guidelines are followed when verifying CVTC enrollment and financial aid status for CVTC students seeking to obtain housing at UWEC; Provide information for prospective CVTC students regarding housing at UWEC; Work with marketing to ensure CVTC public website is properly updated in regard to UWEC housing.
- Assist with coordination of Student Leadership Recognition Banquet.
- Promote to Clubs and Advisors; Track attendees; Assist with arrangements: set-up, catering, creation of certificates, name tags, follow up on club transfers.
- Serve on Financial Literacy Steering Committee for CVTC.
- Direct activities of student workers.
- Produce Student IDs and clinical badges within Student Life; Oversee process for production of clinical badges in Student Central and at remote campuses; maintaining supplies and machines.
- Support Study Abroad.
- Coordinate Constitution Day efforts ensuring college is complying with U.S. Department of Education.
- Maintains/provides oversight of documentation, billing, and IDs for UWEC Inter-Institutional Agreement.
- Maintains/provides oversight of documentation, IDs and billing for agreement with Eau Claire Transit.
- Perform Phi Theta Kappa administration functions for membership recruitment and banner updates.
- Ensure compliance of state statues for raffles.
- Guide and support clubs in raffle process.
- Compile and maintain required documentation for WI Department of Gaming.
- Assists with Student Association functions.
- Works with Public Safety to manage liability waivers.
- Coordinates Light Up a Child’s Heart program.
- Partner and provide outreach to other areas within the college as necessary. Actively involved in a college committee.
- Updates Student Life web pages, online calendars, and social media.
- Maintains locker rental information and distribution.
- Provides general office support for Student Life, scheduling meetings, reserving rooms, ordering supplies, making copies sending faxes.
Required Knowledge, Skills and Abilities:

- Intermediate knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office Outlook, Word, and Excel, Banner, Qualtrics, OneDrive, Google, SharePoint.
- Associate’s degree in Administrative Assistant, Marketing, Business Management, or related area.
- Minimum of two years of experience with office coordination.

Benefits begin on the first date of employment (i.e., there is no waiting period), with the exception of tuition reimbursement.
