Job Summary

The Student Success Initiatives (SSI) engages and supports Rice undergraduate students and facilitates their successful transition, retention and graduation from the university. The SSI department serves as an umbrella to the Rice Emerging Scholars Program (RESP), First Generation and Low-Income Student Programming (FLI), and First Year Programs and Access & Opportunity Portal (AOP). The operations specialist serves as the first point of contact for a high-traffic, student-centered office, and will play an essential role in helping manage day-to-day operations. Ideal candidates are organized, possess strong computer skills, are comfortable working in dynamic environments, and enjoy being a part of a team.

Salary: $42,000 - $48,000

Essential Functions

  • Implements, administers and evaluates day-to-day business and administrative activities of the department, function or program
  • Provides input on the budget, budget planning and other financial matters
  • Assists in managing unit budgets and monitors and approves expenditures
  • Assists in the management and coordination of the human resource function including performance management, promotion, employee relations, compensation, job descriptions, job postings and recruiting
  • Organizes, manages and completes special projects
  • Collects and analyzes data, creates reports, reviews and explains trends; formulates and evaluates alternative solutions and recommendations to achieve the goals of the program or function
  • Analyzes and interprets policies; develops, revises and implements procedures
  • Plans and implements outreach activities that may include communications, events, training, conferences, and fundraising
  • Performs all other duties as assigned

Additional Functions

  • Provides advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., in order to assist them in making appropriate choices and decisions
  • Reviews and administers student records, analyzes data, and makes recommendations that require interpretation and influences decisions on routine issues
  • Plans and schedules staff calendar and travel arrangements
  • Schedules, organizes, and operates department sponsored events
  • Maintains office supplies and equipment; Coordinates office moves
  • Collaborates with other team members to update the division’s website

Required Qualifications

  • One-year experience in an administrative setting
  • Bachelor's Degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
  • Skills Required
    • Ability to prioritize work and multi-task
    • Excellent organizational skills
    • Ability to take initiative and ownership of projects
    • Written and verbal communication skills
    • Ability to exercise sound judgment in making decisions
    • Relevant subject matter knowledge

Preferred Qualifications

  • Experience
    • Working at a college or university and or/serving in a high, diverse customer service-oriented environment
    • Managing budgets
    • Working in an office with multiple staff members
    • Working with budget documents and processing finances
    • Event planning
  • Skills
    • Computer skills, including experience with Microsoft Office Suite
    • Customer service skills
    • Understanding of financial transactions
    • Ability to learn and understand compliance with legal, financial, and university policies and external regulations
