The Transaction Specialist position is responsible for successfully executing real estate transactions as well as providing lite administrative services to the investment advisors. Support includes initial listing services, sales coordination, pre- and post-closing activities, customer communication, forms completion and maintenance and clerical tasks. This position will entail working directly with the partners, investment advisors, and fulfillment staff in various aspects of day-to-day operations and become heavily involved in various firm projects and client deliverables. As a Transaction Specialist, you will gain valuable skills from assisting experienced professionals and leaders in the multi-family sector at Capstone Companies. The Transaction Specialist will also receive on-the-job training, mentoring, and feedback throughout their tenure.

This individual will be responsible for the following:

Coordinate deal servicing and transaction management needs, including:

  • Mediating and coordinating closing process between buyer and seller from start to finish
  • Coordinating Outlook invites and communicating critical dates (DD end, Closing, etc.) and ensuring they are followed up upon
  • Creating and maintaining electronic and paper files that document all transactions and decisions for buyer and seller to exchange due diligence documents
  • Verifying all due diligence documents are uploaded by the seller and obtaining all necessary items are collected and delivered within PSA compliance
  • Coordinating and scheduling inspections, showings, and unit walks/tours as necessary
  • Some travel required for property photographs, meeting third party vendors on site
  • Point of contact for all due diligence related questions between buyer and seller
  • Assist with inputting data, registering prospects, deal servicing and execution including circulating tour calendar invites, managing weekly marketing campaigns, and creating offer matrices
  • Drafting Listing Agreements, Fee Agreements, and Confidentiality Agreements
  • Performing due diligence needed in assisting analyst and broker in the OM creation
  • Communicate professionally to clients and prospective investors
  • Process executed lease/amendment paperwork, collect pertinent documentation, sending tenant/property eblasts, create market surveys, print tour books, schedule tenant tours, etc
  • Work with analyst and marketing staff to prepare collateral materials, monthly reports and presentations for property sales, demographics, client reporting, client meetings, third party vendor meetings, city or municipal approvals, with direction from executive team
  • Assist with transaction due diligence ensuring the flow of communication which includes kick-off meetings, scheduling 3rd party reports and site visits. This includes interfacing with persons directly or indirectly such as appraisers, engineers, attorneys, lenders, and other third-party vendors
  • Provide support in coordinating events, project tours, meetings, client events, and team meetings
  • Prepare and maintain brokers weekly calendar and scheduling of meetings and activities
  • Train new sales associates on software and office equipment, serve as back-up to office staff
  • Greet and assist onsite guests
  • Maintain office supply inventory by checking stock inventory levels, anticipating needed supplies
  • Monitor brokers email
  • Perform additional duties as requested or assigned

Capstone is looking for passionate, experienced, and creative people who possess:

  • Bachelor's degree preferred
  • 2+ years of relevant work experience in the real estate industry is preferred
  • Proficiency with MS Office Suite and Outlook, Experience in Salesforce a plus, Adobe Creative Suite preferred
  • Strong planning and organizational skills and are highly effective at prioritizing tasks to see them through to completion
  • Effective time management and strong organizational skills: prioritize tasks, successfully manage deadlines, and perform under pressure
  • Excellent oral and written communication and superior customer service
  • High level of attention to detail and proven problem-solving capabilities
  • Aptitude for quickly comprehending and inputting data
  • Professionalism, drive, and eagerness to better CRE knowledge
  • Able to maintain confidentiality, utilize judgment, work well independently with an ability to work collaboratively with others
  • Confident in your ability to support a team of commercial real estate brokers through preparing/updating sales reports, database management, creating marketing reports, preparing content for pitches/ presentations and more
  • Adaptability and efficiency in a fast-paced environment
  • Must be a team player
  • Individual must be able to work on-site in our Edmond, OK office during standard business hours.
