The Accounting Assistant position supports the local operations Area Management, Area Accounting Lead, Area Project Accounting team, and Corporate Accounting resources. Primary responsibilities include performing the general accounting functions for the Area, as well as assisting in providing project financial support. This position follows practices and procedures in accordance with HDR policies, HDR best practice processes, HDR accounting principles and federal government compliance standards.

Primary Responsibilities include cross-functional Project Financial Support:

  • Assist Project Accountants in creation of accurate client invoices in compliance with contract terms and accounting schedule, including gathering backup to support client invoices
  • Collaborate with project accountants to resolve outstanding A-R issues & confirm documentation of collection activities
  • Demonstrate an understanding of our company’s financial and quality monitoring tools, in particular those focused on individual projects’ performance
  • Assist Project Accountants and Project Managers with input and maintenance of projects’ data within our systems
  • Assist Project Accountants and Project Managers with scheduling and compiling information for project reviews with management
  • Assist the local operations Area Accounting Lead and project accountants with research regarding project quality and financial status
  • Ensure project accounting files have appropriate documentation and project reconciliation
  • Assist multiple project accountants and other staff on a daily basis
  • Apply company quality assurance guidelines and procedures for project document management
  • Assist project managers with development of contracts and subcontracts
  • Order and monitor insurance certificates
  • Create and manage project documents and files
  • Schedule and participate in Project Reviews
  • Word processing, editing, formatting, proofreading of technical deliverables
  • PowerPoint development and editing.
  • Work with HDR task leads and team members - organize and track internal HDR deliverables including reminders and coordination with leads on schedule tracking

May also provide General Accounting Functions:

  • Perform Accounts Payable functions relative to HDR accounts payable procedures, including:
  • Coding & processing accounts payable and purchase requisitions
  • Process on-demand check requests
  • Review and assist in processing accounts payable transactions for sub consultants
  • Research and communicate release of subconsultant payments to corporate finance & accounting group
  • Manage and maintain monthly credit card purchases and reconciliations
  • Perform internal cost recovery functions for billable project charges of vehicles & equipment
  • Track employee temporary duty costs
  • Track local vehicles, including coordinating with corporate as needed
  • Assist with G/L Analysis, including research and pulling backup documentation
  • Track costs associated with training, seminars, & conferences for both in-house and external events
  • Perform & monitor timesheet labor adjustments & Accounts Payable/Expense report adjustments
  • Assist, as needed, with approval of employee timesheets relative to HDR timekeeping policies & procedures
  • Review and answer questions as needed for employee expense reports relative to HDR travel & business expense policy & procedures
  • Perform other duties as needed

Qualifications


Required Qualifications

  • High School diploma or equivalent
  • Proficiency with MS Office including Excel, Word and Outlook
  • Must be self-motivated, well-organized, detail-oriented and able to work well independently and as part of a team
  • Flexibility and ability to prioritize and handle multiple tasks and collaborate with various managers in a fast-paced environment
  • Requires personable and professional face-to-face, telephone and email communications
  • Ability to properly handle sensitive and confidential information and work with a broad range of individuals throughout HDR
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Preferred Qualifications

  • Associates Degree in Business and/or Accounting or Bachelor's degree in Accounting
  • Minimum 2 years accounting experience preferred
  • Experience with Microsoft Sharepoint, Access, or Power Platform highly desirable
  • Oracle EBS experience a plus
  • Accounting experience in A/E/C industry desirable
