Position Summary
Responsible for assisting the CLASS Program Director and CLASS Case Managers with administrative tasks according to program requirements. Provides back-up support to the front desk functions. Assists the CLASS Program Director with administrative duties related to the department, as needed. Does record keeping, filing, data entry, phone calling, scheduling, etc.
RESPONSIBILITIES
General
- Contributes to providing quality care for clients of Easter Seals North Texas in whatever capacity is required in accordance with skills and training.
- Maintains awareness of trends and best practices and is proactive in continually acquiring knowledge in fields related to disabilities, rehabilitation, community-based services.
- Participates in Easterseals North Texas meetings and on committees as required and appropriate.
- Knows, abides by and when appropriate, enforces Easter Seals North Texas Policies and Procedures.
- Promotes unified, team-oriented atmosphere in all communications and actions; and
- Is professional in appearance and demeanor.
Program/Services
- Assists the CLASS Program Director and all Case Managers with administrative tasks.
- Serves as back-up for Frond Desk Coordinator.
- Provides administrative support to Vice President of Programs, as needed.
Management and Administration
- Answers phones as/when necessary.
- Processes incoming and outgoing mail and faxes.
- Maintains client database.
- Collects data as necessary for reporting, billing, etc.
- Processes timesheets, mileage reimbursement, expense reimbursement requests and purchase requests.
- Maintains office supplies for the CLASS department
- Assists with building issues, as needed.
KNOWLEDGE, SKILLS, ABILITIES
High School Diploma or GED required. Spanish/English fluency preferred. Strong typing and computer skills. Effective oral and written communication skills. Excellent phone and interpersonal skills. Able to handle fast-pace and multiple priorities with high degree of efficiency and accuracy. Deals effectively with deadlines and stress.
Must be able to:
· demonstrate a strong work ethic;
· demonstrate a commitment to working well with others;
· work independently with minimum supervision and maximum accountability;
· able to travel across the Metroplex independently and timely for work purposes;
· work at a desk/computer a minimum of six hours per day;
· demonstrate strong written and oral communication skills, including the ability to effectively articulate the Easter Seals mission and message;
· demonstrate commitment to privacy and confidentiality; and
· demonstrate flexibility and agility in day-to-day work.
Knowledge of Windows operating systems and Office products, including Microsoft Word, Excel and Outlook, or ability to learn them independently. Ability to use client database or to learn to use it independently.
WORKING CONDITIONS AND HOURS
Primarily office conditions, however local travel throughout the Metroplex is required. May need to travel to all areas of the service territory. Some work in storage areas. Working hours are 40 hours, 8:00 – 5:30 Monday through Thursday and 8:00 to noon on Friday, with 30-minute lunch break. Flexible scheduling will be required to provide administrative staff support during all working hours of operation. Some additional evening, early morning and weekend work may be required with this position. Flexibility in hours will be determined in consultation with supervisor.
