Purpose:
The Administrative Assistant for working closely with Department Managers and Facility Manager to provide administrative management for company PO's, budget compliance, work orders and safety and health needs. Oversees the housekeeping functions within the facility. Functions with minimal management supervision and able to perform all functions assigned within the facility.
Essential Daily Functions:
Prepares daily excel reports for management review.
Performs various administrative clerical functions such as data entry and filling to complete all assignments.
Maintains appropriate inventories by initiating orders for office and warehouse supplies.
Research pricing and new vendors as well as verifies pricing on all invoices including services, direct purchases, and temp labor prior to passing to management.
Creates requisitions in Dynamics 365 / receives PO’s once they have arrived.
Updates and sends vendor invoices to Accounts Payable on a daily or weekly basis.
Contacts vendors for services and repairs.
Organizes and arranges distribution facility special and routine Company functions such as Thanksgiving and Christmas luncheons, annual safety celebrations to include all preparations and food arrangements as required.
Primary contact for staffing agencies including requests of temp staffers management needs and performance feedback per personal and management observations.
Acts as point person for employee sales orders.
Keeps appropriate logs for safety, OSHA and warehouse repairs.
Requirements:
Superior personal computer skills including electronic mail, word-processing, spreadsheets.
Knowledge of BlueCherry preferred.
Ability to perform using basic math.
Detail oriented, accurate and ability to handle multiple tasks.
Ability to analyze data to identify potential problems or discrepancies.
Must be able to communicate effectively with Management and others to deliver timely and accurate information.
