SUMMARY

Provides administrative support in coordinating meetings, handling correspondence & conference meetings/calls, coordinating administrative tasks, meeting minutes, logistics, and works for the Air Force Civil Engineering Center (AFCEC) Natural Disaster Recovery (NDR) Division or Branch Chiefs

Candidate must reside in the local Panama City, Florida area.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following:

  • Prepare reports, presentations, and other correspondence.
  • Schedule, organize, and conduct meetings such as Coordination Meetings, Staff Meetings, Project and Program Reviews (e.g., PMRs, SAGs, SERGs, Joint Services PMO Collaboration, and the Coastal Resilience Advisory Group (CRAG))
  • Manages schedules, coordinates meetings/calls and prepares executive for meetings and appointments.
  • Prepares drafts of internal and external communication.
  • Prepare correspondence and presentations on behalf of the executive.
  • Provides timely communications and updates between the executive’s offices and internal departments.
  • Follows up on items assigned to team members and work product deadlines
  • Draft and coordinate administrative tasks, meeting summaries, and logistics
  • Facilitate meetings by assisting the Government in creating agendas, delivering technical presentations, making recommendations for technical issues, and providing meeting minutes.
  • Support the NDR Division at conferences and meetings including meeting setup and invitation, coordination, facilitation, as well as deliverables (graphics, audiovisual equipment, study materials, record keeping, etc.).
  • Maintain records and other information on the SharePoint site, Strategic Calendar, and Conference Room Calendars for the NDR Division
  • Responds, in a timely manner, to routine requests, meetings, emails, and correspondences.
  • Handle multiple tasks.
  • Coordinate meetings, appointments, and travel arrangements.
  • Answer, screen and transfer inbound phone calls as well as receive and direct visitors and clients.
  • Perform general clerical duties to include photocopying, fax, mailing and maintenance of electronic and hard copy filing system.
  • Performs other job-related duties as required.

SUPERVISORY/MANAGEMENT AUTHORITY

No supervisory responsibility.

EDUCATION AND EXPERIENCE

High School Diploma or GED

Requires a minimum of 1 year experience

KNOWLEDGE, SKILLS, AND ABILITIES

  • Must be able to multitask.
  • Experience in working with senior leadership and governmental agencies is highly desired.
  • Demonstrate computer literacy sufficient to operate a personal computer utilizing word processing programs and possess basic typing skills.
  • Knowledge and skilled in Microsoft Suite including Excel, PowerPoint, Word, and Outlook is required.
  • Must have sufficient skills to conduct a wide range of multiple requests for meetings and other requests.
  • Ability to integrate data from various types of software, including Microsoft Access, Excel, Work, and PowerPoint.
  • Ability to communicate clearly, both orally and in writing, with various levels of personnel within the organization and with external organizations.
  • Must be a US citizen
  • Ability to obtain and maintain a US Air Force NACI/SF85 for unescorted access to on-base facilities.

WORK ENVIRONMENT

Work is performed in a climate controlled and professional office setting.
