Admissions Assistant:
The Spring Hill School, located in Petaluma, CA, seeks a motivated, collaborative team player for the role of Admissions Assistant. In this position, a successful candidate will interact warmly and positively with current and prospective students and families, support all aspects of the admissions and enrollment management process, and demonstrate excellent communication skills. The admissions team strives to impart to every prospective family the warm, welcoming, and empowering environment that makes The Spring Hill School unique. This work begins with the very first moment the family connects with the school and extends throughout their time within the community.The Admissions assistant supports the administration of the admission process and manages the admission database in all aspects of recruitment, admission, and enrollment, including collaboration with the registrar for all school forms. The Admissions Assistant reports to the Director of Admissions, and works closely with and collaborates regularly with the Advancement team: communications, business, and development teams, as well as with the campus directors.
Job Description:
This job will support multiple facets of our admissions and engagement initiatives. We look forward to meeting individuals for this position with experience in independent schools, admissions experience, and event planning or the desire and motivation to learn new skill sets. The Admission Assistant will report to the Director of Admissions.
The principal responsibilities include:
- Serve as the primary contact for all admissions inquiries and communications to applicant families, including managing the admissions inbox and phone
- Utilize Blackbaud enrollment management database to manage online application process, organize electronic files, generate applicant and enrollment reports, prepare and manage electronic decision letters and enrollment.
- Maintain calendars for the Admissions Team, including the scheduling of interviews and tours and other appointments as needed.
- Tour prospective families
- Support the Admissions Office in the planning and execution of all Pk-8th grade admissions events: open houses, transition events, coffee socials, parent gatherings, engagement events (some weekend work required)
- Coordinate admissions outreach and recruiting efforts via school visits and fairs
- Produce monthly, quarterly, and annual statistical and demographic data reports
- Track RSVP’s, create name tags, prepare materials, register applicants for events
- Order and maintain office supplies for the department
- Provide back-up support to the Front Desk and Parking Lot supervision as needed
- Perform duties as assigned by the Director of Admissions

- High proficiency in Microsoft Office Suite and Google Office Suite

- Willingness and ability to prioritize assignments, look ahead at what might be needed next, and multitask
- Sense of humor, warmth of personality, and energy
- Commitment to diversity and inclusion
- Blackbaud/OnBoard Experience is desirable
- A Bachelor’s degree is desirable
COVID vaccination will be required for this position unless the candidate has a legally valid exemption.
COMPENSATION: The Spring Hill School employment requirements vary, from positions requiring no experience to those needing 20+ years of expert experience. Our salary range includes all levels of experience, from $48,000 - $65,000. Salaries are determined based on years of experience, education, full- or part-time status, the category of the role, and the number of months of work per school year. Salary ranges do not include benefits, i.e. medical, dental, vision, life/AD&D plans, and generous time off. The pay range is an estimate and is not guaranteed. If hired, your actual base salary will be determined by your education, experience, and category.
