Description of Duties:

The purpose of the Associate Manager for Summer and Extended Programs – Morganton position is to support, manage, and expand NCSSM’s extended programs, including but not limited to, already existing summer programs. This position has a specific focus on student recruitment, enrollment, and communication. The Associate Manager for Summer and Extended Learning – Morganton supports programs, institutional goals and our mission by administering, improving, and expanding high-quality summer programs and outreach programs for K-12 students.

Admissions, enrollment, and customer service:

  • Manage admissions and enrollment process for summer and outreach programs, including serving as a point of contact for prospective families, managing applications and enrollment, recruiting, and tracking payments*
  • Convey sensitive information and/or decisions to clients (students/parents/faculty)*
  • Communicate enrollment numbers to instructors
  • Provide customer service, information, and reminders to families leading up to and throughout programs including fielding/resolving family and student questions and concerns*
  • Update handbooks and outward-facing instructions for families which anticipate and address recurring problems
  • Collaborate with NCSSM’s Durham and Morganton staffs to plan and coordinate events*
  • Occasional travel within NC and the region to promote summer programs and to recruit students and staff*

Communications and Marketing

  • Develop and enact expanding recruiting efforts for existing summer and outreach programs*
  • Create new marketing efforts to target new student groups being served and to promote new program models and locations, specifically focusing on new marketing for younger students and families interested in day programming
  • Plan and implement marketing strategies, research events, and coordinate attendance at STEM competitions, conferences, schools and camp fairs*
  • Manage social media pages and maintain website*
  • Design and send email blasts and flyers to promote programs*
  • Plan and order swag, marketing materials, and promotional items*

Site supervision and program management

  • Hire and supervise seasonal temporary staff, including recruiting, selecting, and training student life and other support staff
  • Oversee in-session programming and make decisions regarding safety, discipline, staffing, activities, housing, food service, transportation, supplies, and resources*
  • Serve as a point of contact for families and be on call 24 hours a day during summer programs as needed*
  • Communicate with families regarding any logistics or issues that arise*
  • Manage emergency situations when on call*
  • Supervise and lead student activities as needed, including driving NCSSM vehicles to off-campus trips*
  • Oversee development and coordination of extracurricular programming
  • Improve staff awareness of and attention to safety in the planning and execution of programming
  • Review program evaluation data and implement program improvements, with specific focus on recruitment and enrollment

General NCSSM Duties

  • Attend departmental and employee meetings*
  • Serve on departmental and schoolwide standing committees
  • Supervise campus service students within summer programs
  • Serve on search committees and participate in selection processes
  • Serve on the NCSSM Admission and Summer Venture selection teams
  • Assist with Extended Learning outreach programs throughout school year*

Must possess a valid driver’s license with no serious driving-related convictions.

Knowledge, Skills, and Abilities:

Professional Knowledge: Knowledge of program policies, procedures, technology, best practices and their theoretical bases. Ability to interpret and apply a variety of interrelated policies, procedures, and programs for clients and to address clients’ non-routine issues. Knowledge of new theories, trends, laws or precedents demonstrated by recommending and implementing improvements or necessary changes to policies, procedures, and/or programs(s). Knowledge and/or certification of pediatric or adult First-Aid and CPR.

Program/Project Administration: Ability to administer and/or manage a program with established guidelines and standards in its entirety or to administer several components of a multi-faceted program. Ability to ensure program/project accountability. Ability to define scope, goals, tasks, deliverables, timelines, tools, and resources. Ability to assess the needs of the work unit or project. Ability to determine any gaps, and recommend changes in procedures, workflow and work assignments to improve efficiency and effectiveness in performance of individuals and the work unit as a whole. Ability to develop and monitor program/project databases, schedules and reports. Ability to ensure accuracy of data and compliance with program standards. Ability to perform professional program administrative duties, including technical decisions. Ability to collaborate in the development and completion of grants and contracts. Ability to prepare related reports as required. Ability to work within Google's suite of products, and familiarity with Zoom virtual meeting programming.

Consultation: Ability to advise and collaborate with clients, program participants, and others to resolve difficult issues in assigned program areas. Ability to identify trends. Ability to recognize the impact of policies, procedures, and laws. Ability to apply knowledge and understanding of program culture, issues, and work relationships to address situations. Ability to share knowledge and critical thinking processes. Ability to promote the use of best practices to achieve mutually agreeable outcomes in the resolution of issues. Ability to determine and document a course of action to address complex, ambiguous or unique operational and/or programmatic issues in assigned area(s).

Information Analysis and Decision-Making: Ability to analyze business operations and/or financial statements for overall program administration. Ability to develop initiatives to meet program/project needs and objectives. Ability to assess and resolve unprecedented problems that require research and review of policy and procedures for the program or assigned components. Ability to resolve problems or compliance issues, based on delegated authority.

Communication and Marketing: Ability to maintain and enhance professional relationships to increase credibility for building support and reaching consensus when explaining and interpreting program policies and procedures within assigned area(s). Ability to convey sensitive information or decisions to clients. Ability to work toward mutual resolutions that are in the best interest of the organization and across organizational lines. Ability to promote and market assigned area(s) and persuade clients of the needs and beneficial outcomes of the program. Ability to plan and implement marketing strategies and functions. Ability to apply creativity to development of strategies and functions. Ability to take a lead in presentation of products and cultivation of donors. Ability to develop and conduct multiple training programs to meet organizational training needs. Ability to prepare teaching plans, and materials. Ability to identify objectives and provide instructions in a variety of training disciplines which include and encompass all levels of work.

Leadership: Ability to develop and manage a program/project plan. Ability to provide consultation on issues and requests from clients. Ability to consult with higher-level professionals to discuss alternative solutions. Ability to supervise staff. Ability to develop and implement short-term strategies consistent with program goals.

Minimum Education and Experience:

Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred: Experience working in youth programming, education, or recreation programming; experience supervising a team of staff; Experience designing and conducting teacher professional development; ability to travel within NC

Vacation: Varied based on EHRA or SHRA Classification. For SHRA and Faculty, earn from 14 days to 26 days per year based on years of state service (part-time employees are pro-rated). EHRA SAAO Group I, receives 26 days per year and EHRA SAAO Group II/Instructional (IRIT), receives 24 days per year. Leave is earned monthly.

Sick Leave: 12 days per year.

Additional Leave: Family Medical Leave (FMLA), Paid Parental Leave (PPL), Civil Leave, Extended Illness, Short/Long Term Disability, Family Illness Leave, Military Leave, Community Service Leave, Bonus Leave, Voluntary Shared Leave and Leave Without Pay.

Holidays: 12 days per year

Retirement: Required participation for all employees working 3/4 time or more. Option (1) Teachers’ and State Employees’ Retirement System (TSERS) requires 6% of gross salary. Employees are vested for retirement after 5 years. Option (2) The Optional Retirement Program (ORP) requires 6% of gross salary. Employees in ORP are vested after 5 years of participating in ORP. As a participant in either retirement program, you are automatically covered for short-term disability (eligible after 1 year of service/no cost), long term disability (eligible after 5 year of service/no cost). Death benefit of minimum $25,000/maximum $50,000 based on previous 12 month salary (eligible after 1 year of service/no cost).

Supplemental Retirement Plans: Supplemental retirement plans provide an additional opportunity to help you reach your retirement goals. Supplemental Plan offerings such as a 401(k), 403(b), or 457(b) on a Roth (after-tax) or pre-tax contributions from several different vendors.

Health Insurance: Employee only coverage under the State Health Plan (PPO) is provided to employees that work 30 or more hours a week. The cost is determined by the type of coverage elected by the employee. Dependent coverage is available by payroll deduction.

NC Flex Plan: Plan offers Health Care Flexible Spending, Dependent Day Care Flexible Spending, Dental Insurance, Vision Care Plan, Critical Illness, Cancer Insurance, Core Accidental Death & Dismemberment, Voluntary Accidental Death & Dismemberment Insurance, Accident, and Group Term Life. All plans are pre-tax basis / Cost varies depending on selections,

Voluntary Group Term Life Insurance: Securian (This is an after-tax plan and is portable)

Longevity: Payable to SHRA employees after 10 years of creditable state service (EHRA employees are not eligible).

Tuition Waiver: Three courses per academic year tuition free (at any of UNC 17 campuses that offer courses) for permanent full-time employees. Under Educational Assistance, tuition reimbursement may be available for attendance at Community Colleges provided courses taken pertain to current job or upgrades current job skills.

State Employees Credit Union: Membership welcomed. Contact the SECU Credit Union for information.

Community Service: 24 hours leave credited each calendar year (prorated for part-time) unless you choose the Mentoring/ tutoring option – 1 hour each week up to a max of 36 hours that schools are in session as documented by the elected board of the local education agency or the governing authority of any non-public school.

Facilities: Library & Gymnasium - other athletic facilities available at no cost to employees. Cafeteria on site.
