Position: Coordinator
Department: Camps and High School Programming
Reports to: Director
Requirements: Bachelor’s degree required and three to five years of relevant experience; previous program coordination in either the K-12, higher education, nonprofit or corporate environment desired. Position requires a proficient multi-tasker with an ability to perform a full range of department functions including full comprehension of office and budget monitoring; staff communications; computer skills using advanced word processing and excel, as well as database and online tools; excellent organizational, communication, writing, social media, and web research skills. Prior experience with student information systems and other web-based communication platforms preferred. Strong emotional intelligence is required to satisfy young demographic and catalog array.
Primary Function: Help manage the successful engagement of high schools with Point Park University through facilitation of community and summer programs and other educational and enrichment opportunities. In this both external- and internal-facing role, accommodate high volumes of constituents including students (middle- to high-school age), parents, faculty, staff, and guests in a professional and courteous manner. Handle complex registration systems for hundreds of attendees. Anticipate and be prepared for peak work requirements (including weekends and evenings) during June and July. Additional expectations include: working in a collaborative fashion while maintaining a positive attitude; exemplary planning and time management skills to meet rigorous deadlines; taking personal responsibility for excellence.
DUTIES:
- Bring a resourceful, adaptable, strategic, and quick-pivoting attitude to a constantly evolving work landscape. Answer questions with thought and provide support in high- stress Discuss any issues with the director.
- Act as first point of contact for Camps and High School Programming; receiving, screening, and directing visitors to showcase the institution in its best light.
- Answer phones; take messages and refer inquiries to necessary parties; maintain effective communications with outside constituents and the general Point Park community.
- Answer emails; monitor and review inquiries from two shared email accounts open to the general public, in addition to the individual’s account.
- Develop, in conjunction with the Director, new, innovative, and dynamic programs to engage prospective students and touchpoints.
- Provide real-time scheduling support by booking appointments and preventing conflicts.
- Organize, maintain, and ensure security of in-depth participant databases including:
- General Demographic & Program-Specific Information
- Emergency Contacts
- Diet, Allergies, & Other Accommodations
- Confidential Medication & Health History (includes insurance information)
- Healthcare Providers
- University Agreements/Waivers
- Maintain up-to-date financial records via electronic software, including posting of scholarship funds and incoming payments. Deposit and reconcile cash/check payments to Student Accounts.
- Maintain program files, especially pertinent logistical information for future reference.
- Develop and maintain a thorough understanding of university policies, procedures, and educational technology/software, including Jenzabar, Contraxx, CMS, SPOL, SharePoint, etc.
- Engage in efficient cross-departmental support efforts to maximize university success in the execution of all programming. This includes, but is not limited to:
- Conference and Events Services: schedule and ensure appropriate timing and use of university space and resources
- Human Resources: coordinate intake of new hire and re-hire documents for faculty and staff, including I-9 identity verification and required clearances
- Residence Life: housing assignments and key distribution
- Physical Plant: photo ID preparation and distribution; internal and external transportation requests; report maintenance items via Corrigo
- Food Service: communicate up-to-date record of dietary restrictions to meet student needs
- Health Services: ensure communication of medical concerns, health history and allergies to Residential Staff, Student Health Center and Athletic Trainers.
- Act as liaison to visiting staff; coordinate travel, lodging & per diem expenses.
- Process a high volume of HR2s, invoices, check request forms while remaining mindful to monitor the department budget.
- Provide logistical and administrative support for third-party Research marketing opportunities with relevance and a budget-savvy mindset.
- Design and execute print and digital marketing materials for all programs.
- Train and supervise additional PT staff members, apprentices and/or work study students.
- Engage in physical requirements necessary for move-in and other on-campus events.
- Other projects and duties as assigned by the Director.
