About Your Work

  • Provide administrative support and project management/coordination for cultivation, stewardship, and recognition activities
  • Use advanced writing skills to efficiently and accurately draft professional letters to donors in recognition of gift acknowledgement. Revise templates annually to avoid repetition and maintain current information.
  • Implement and manage processes/procedures for pledge reminders to donors and notification to individuals/families of honorary and memorials gifts to Chautauqua Institution.
  • Serve as the Donor Concierge for the Advancement Department by providing high quality personalized stewardship support for leadership giving donors.
  • Provide project management and execution of membership benefits for giving societies.
  • Coordinate new donor giving program.
  • Assist with reporting on the performance of endowment funds and other restricted gifts.
  • Assist with donor mailings, as needed.
  • Maintain an expert working knowledge of fundraising software and relationship management solution (Raiser’s Edge) to track and record activities.
  • Attend appropriate stewardship and recognition events to assist in management of activities, welcoming guests and gathering of feedback.
  • Preserve confidential information.
  • Maintain current knowledge of stewardship and non-profit trends and best practices, seeking out opportunities for professional development that will enhance job performance, including building networks with colleagues at peer institutions.
  • Support other stewardship projects as assigned by the Director of Donor Relations.
  • Serve as back-up receptionist, as needed.

About You


Education & Experience

  • Minimum Associate’s Degree in Communication, Public Relations, Marketing or closely related field is required. Candidates with equivalent combination of education/work experience will also be considered.
  • Six months or more of demonstrated experience performing related duties in a nonprofit/philanthropy setting, with a proven track record of excellence in organization, time management, and attention to detail.

Knowledge, Skills, and Abilities

  • Superior written and verbal communication skills.
  • Professional computer skills, proficiency in Microsoft Office Suite and Raiser’s Edge or similar donor management system.
  • Ability to build collegial, productive relationships with team members, donors, volunteers, and institutional partners, through the lens of our organizational values.
  • Proven ability to multi-task and balance competing priorities.
  • Must be able to identify and resolve problems in a timely manner.
  • Interest in fundraising and donor stewardship.
