Central City Concern's Old Town Clinic is looking for a full-time Front Office Receptionist!

The Successful Candidate:
The Front Office Receptionist is responsible for welcoming and greeting all patients and visitors, in person and over the phone. They will schedule and check patients in for multiple providers and programs, be responsible for registering new patients and updating demographics for existing patients, verifying insurance, updating fee agreements and taking payments. They will facilitate clinic flow and keep the reception area clean and organized.
This position is considered a critical link between the patient and the care delivered by clinical and service staff of the clinic. The position must exemplify the core values and mission of the organization, always exercising the utmost discretion, diplomacy and tact in patient, visitor and staff interactions.
Successful candidates will excel in multi-tasking, flexibility, telephone skills, customer service, computer skills, time management, organization, attention to detail, prioritizing, and professionalism.
Duties to Include:
- Welcomes and greets all patients and visitors, in person or over the phones.
- Answers the phone while maintaining a polite, consistent phone manner using proper telephone etiquette.
- Registers new patients and updates existing patient demographics by collecting detailed patient information including personal and financial.
- Facilitates patient flow by scheduling according to clinic policy, making confirmation calls, checking in for appointments in a prompt manner while following protocols.
- Verifies insurance eligibility. Collect and record payments.
- Monitors waiting rooms (checking in with patients to make sure that they have checked in for their appointment, are in the correct waiting area and have not been waiting an extended time to be called, helps to make the area comfortable and safe).
- Responds to patients’, prospective patients, and visitor inquiries in a courteous manner.
- Distributes and records bus tickets to patients.
- Manages patient mail.
- Keeps office supplies and forms adequately stocked by anticipating needs, requesting additional supplies and monitoring office equipment.
- Participate in compliance, quality assurance and quality improvement activities as directed.
- Adhere to all state and federal privacy regulations, including HIPAA and 42 CFR Part 2, and to CCC policies and agreements regarding confidentiality, privacy, and security. Support compliance with all privacy and security requirements pursuant to community partners’ and outside providers’ patient confidentiality agreements, including privacy and security requirements for EMR access. This includes immediately reporting any breach of protected health information or personal identification information of any person receiving CCC services by CCC or an outside provider to the CCC Compliance Department, as well as to your supervisor or their designee.
- Attend all mandatory CCC trainings in a timely manner.
- Back up phone coverage in areas outside of the front desk if necessary due to staffing needs.
- Perform other duties as assigned.
Requirements:
- Previous reception experience.
- Effective communication skills; ability to communicate effectively both verbally and in writing.
- Excellent customer service skills.
- Superb telephone etiquette.
- Computer data entry skills, basic proficiency with MS office products including word and outlook.
- Ability to work with a diverse population.
- Ability to problem-solve in crisis situations.
- Ability to multi-task and prioritize
- Attention to detail is a must.
- Ability to follow written and verbal instructions.
- Previous experience in a medical clinic.
- Basic understanding of medical terminology.
- Familiarity with electronic medical record & scheduling systems.
- Familiarity with insurance verifications.
- Bi-lingual (English/Spanish).
- High school diploma or GED equivalent.
- Experience working in reception.
- Typing of minimum 35 words per minute.
- Basic use of computers and data entry.
- Must have current CPR certification prior to start date.
- Physical ability to bend, stoop, kneel, squat, twist, reach, pull and lift heavy objects; climb stairs several times a day.
