Summary
Responsible for the processing of accounting transactions in software systems (i.e. Shop Pak and QuickBooks); creating job files and distributing, billing and collections, payroll, accurate and timely preparation of monthly financial statements; detailed monthly review of financial results with CFO; dissemination of financial information as CFO deems appropriate; special financial projects; management of relationships with accounting/admin 3rdparty entities.
Specific Duties and Responsibilities
Accounting Transactions: Process all accounting transactions within all systems timely and accurately. Including:
- Cash management, including banking
- Accounts receivable, including invoicing &collections
- Inventory, including raw, WIP & finished goods
- Fixed assets
- Payroll, including taxes &benefits transactions
- Short & long term loans
- Accounts payable, including credit card transactions
- Transfer of data between software systems being used
- Coordinate invoice payment with CFO
- Other pertinent accounting transactions
Monthly Financial Statement Preparation:
Generate accurate and timely monthly balance sheet and income statement and supporting documentation. These statements should be presented to the CFO within five (5) business days after the calendar month-end.
CFO Review of Financial Statements:
Schedule a meeting with the CFO each month to review the financial statements in further detail. Provide support for each balance sheet line item with a complete accounting and/or reconciliation of the balance.
Dissemination of Financial Information:
Provide other key personnel with the necessary cost/financial information in order for these individuals to make informed decisions in performing their jobs. The owner will determine the level of information provided to various employees.
Management of Business Relationships with Outside Accounting/Admin Entities:
Manage relationships with all key accounting/admin 3rdparty entities, including:
- Banks
- Insurance companies
- Non-bank lenders, i.e: equipment loans, AMEX
- Vendors’ accounting departments
- Payroll benefits vendors
- CPA
- Other accounting/admin related parties
Creation and Dissemination of Job Files:
- Collect Contract Information
- Assign Job Number
- Create & Distribute Job Files for: Production Manager, Operations Manager & Bookkeeping
Essential Functions
Assure the accurate and timely processing of purchase orders, petty cash, core employees expense reports, core payroll processing and total corporate payroll tax compliance.
Provide accurate information to the corporate Accountant to assure corporate income tax compliance to assure the accurate and timely completion of all corporate income tax returns.
Provide financial reports as requested to assistwith special projects and reports.

Supervisory Responsibility
This position will have no supervisory responsibility.
Work Environment
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phone, photocopiers, filing cabinets and fax machines. The employee is occasionally exposed to moderate noise levels, fumes, and/or airborne particles.

Position Type/Work Day Schedule
This is a full-time hourly position. Scheduled days and hours of work are Monday through Friday, 7:00 a.m. to 3:30 p.m. Some flexibility in hours is allowed, with approval, but the employees must be available during the “core” work hours of 7:00 a.m. to 3:30 p.m. and must work 30 hours each week to maintain full-time status.
Travel
Employee may be expected to travel locally on behalf of the company to perform banking, collection, mailing and other duties as needed. Company vehicles are available to the employee for this local travel.
Required Education and Experience
- High school diploma or equivalent
- Valid California Driver’s License and proof of insurance coverage
- Basic accounting courses/training
- Three to five years’ previous experience
