About: Christ Community Health Services Augusta (CCH) is a rapidly growing, primary care health clinic and a community and faith-based 501 (c) (3) organization serving families in a ten-county region between Georgia and South Carolina.
As our patient population continues to grow throughout the greater Augusta area, we are in search of a caring and competent Health Center Manager to join our team! Our four clinics (five, including dental) are strategically located in urban Augusta neighborhoods, providing local access to affordable care for patients who face medical, economic and transportation hardships. As a federally qualified health center and certified patient-centered medical home, we accept patients with no insurance, Medicare, Medicaid and most commercial insurance plans.

Position Overview:
The Health Center Manager is responsible for the planning, organizing, and supervising of the front office and clinical staff. This includes but is not limited to, patient satisfaction, patient/clinic flow, staff efficiencies and productivity, as well as site budgets. While working closely with the Physician Site Lead, Health Center Managers are expected to work diligently to meet goals and achieve success in regard to patient satisfaction, quality care, efficient patient/clinic flow, and patient volumes.
Key Responsibilities
Staff/HR:
- Create and maintain healthy accountable ministry/mission relationships with the team
- Responsible for the direct supervision of the front office, provider support, and lab staff
- Responsible for effectively managing staff to minimize overtime and maximize productivity
- Ensures that the morning team huddle provides clear expectations and instructions to efficiently lead the day’s operations
- Collaborates with front office leadership and physician site lead to identify operational problems and strives to resolve these in a professional and timely manner
- Timely and consistently addresses staff performance
- Timely reviews and approves requests for time off, and timesheets
- Hires staff within the alignment of budgets and with collaboration from HR
- In alignment with HR’s timeline, completes staff reviews (Annual, 30,60, 90), and as appropriate, seeks input from the physician site lead
Admin:
- Leads and/or coordinates staff meetings/trainings in collaboration with the physician site lead and front office leadership
- Routinely works with patient access to assure provider schedules are full
- Routinely works with the referral team to assure referral loops are closed
- Routinely monitors supply (medical & office) inventories to assure operational levels are maintained and expenses are within budget
- Monthly meets with CFO (or financial rep) to review financial performance
- Monthly meets with HR to discuss personnel
- Frequently works with operational staff and leadership to review operational metrics and develop action plans
- Will participate in committees/teams as requested
Risk/Safety:
- Responsible for monitoring, inspecting, and appropriately reporting incidents
- Routinely works with Risk/Compliance and coordinates all site-specific programs
- Responsible for monthly/quarterly site inspections and conducts all required drills and inspections
- Assures new employees are trained on OHSA regulations, infection control policies/procedures and conducts the safety walkthrough for new employees
- Ensures the site is appropriately organized for the administration of health care by assuring exam rooms, work stations, all equipment, and other work areas are organized, clean and functional
Daily/Routine Task:
- Responsible for the consistent monitoring of providers’ schedules, patient flow, and patient satisfaction, as well as taking appropriate responsive action
- Responsible for reviewing weekly/monthly operational reports regarding visits/productivity, no show, open charts, open diagnostics, open referrals, jellybeans, as well as taking appropriate responsive action
- Frequently interacting with patients, assuring patient-centered care is provided.
- Enforcing CCH policies/procedures regarding professionalism, punctuality, dress code, and culture
- Responsible for assuring staff are not involved in “social networking” such as, Twitter and Facebook, or disengaging from work through texting/cell phones/internet usage, etc. during work hours
- In collaboration with front-office leadership, directs and leads the daily activities of front-office staff
- Timely approval of directly supervised staff in the payroll system. Responsible for determining proper daily staffing and scheduling staff according to budget and needs
- Responsible for planning and organizing provider support staff coverage during vacancies
- Assures that the front office leadership has adequate coverage for front office operations during vacancies
- Works with Physician Site Lead for provider coverage
- Responsible for clerical and clinical ordering of supplies/equipment according to purchasing procedures and monitors the utilization of supplies
- Discusses monthly financial reports with financial leadership and addresses potential action plans to address budget variances
Clinical Management:
- Performs clinic audits and staff competency evaluations
- Understanding, promoting, and educating provider support staff on all CCH policies and clinical protocols
- Responds to all emergency situations and assures all appropriate protocols are followed
- Reports concerns regarding provider performance directly to Physician Site Lead.
- Assures that vaccines and VFC are ordered, stored, and logged according to standards. When administered loaded into GRITS
- Oversees lab so that compliance with CLIA standards and Lab protocols are met.
- Identifies incidents and patient complaints and reports them accordingly
Financial Duties:
- Assures deposits are taken to the bank daily
- Assures petty cash and cash drawer are locked according to protocols
What we're looking for in our candidates:
- Bachelor degree in Healthcare Administration
- Minimum of four years of hospital, medical clinic, or FQHC health experience required
- At least one year of management or supervisory experience
- Eagerness and ability to embody the mission, vision, and core values of Christ Community!
- Excellent interpersonal skills to effectively communicate with physicians, administrative staff, and other healthcare professionals
- Leadership skills that can push a small team to new heights and equip them with the confidence to fulfill their roles
- Strong overall computer skills and experience using e-mail systems, electronic medical records, web-based programs, and various health information technology
- Engaged in strategic planning practices, administrative functions, financial forecasting, and clinical operations
