Position Summary:
Provide administrative support for the Coordinator of the Pharmacy Procurement Department, Pharmacy Manager and Pharmacy Buyer. Role model and demonstrate the company’s core values of respect, honesty, integrity, diversity, inclusion and safety of others.
Essential Job Functions:
- Coordinate frequent telephone contact with other G.O. departments, divisions, vendors, distribution centers regarding brand and generic pharmaceuticals.
- Perform administrative duties including correspondence to Vendors, Divisions, etc.
- Achieve set up and add new items and new manufacturers to the Peyton’s purchasing system.
- Maintain/update and distribute all Pharmacy weekly, period, quarterly and annual reports.
- Manage recalls including follow up with distribution centers.
- Retain tracking tool of Department Attendance and Vacations.
- Maintain and update BCP (Business Continuity Program) files for Pharmacy Procurement.
- Maintain current certificates of insurance, DEA & State licenses for all pharmacy vendors.
- Maintain and Distribute Peyton DEA and State Licenses to all pharmacy vendors upon renewal.
- Oversee to book travel, coordinate meetings and maintain managers’ calendars.
- Must be able to perform the essential functions of the position with or without reasonable accommodation.
Minimum Position Qualifications:
- Strong organizational and communication skills.
- Ability to effectively and professionally interact with various levels of the organization and external vendors
- Ability preparing/maintaining accurate records and reports
- Personal initiative; must plan and organize work and follow through to completion in an accurate and efficient manner.
- Ability to recognize and set priorities.
- Demonstrated ability to maintain confidentiality and protect sensitive information
- Proficient in Mircosoft office products (word, excel and power point)
- Familiarity with or ability to learn and utilize Peyton purchasing systems, Business Objects, etc.
