Office and Logistics Coordinator (part-time) / Islamic Community Center
Job description
MakeSpace is hiring a part-time Office and Logistics Coordinator.
- Part time, 20 - 25 hours per week.
- Duties are performed at MakeSpace HQ and at various event/program locations.
- Due to the nature of the position, work will be performed during daytime, evening and weekend hours.
- Must be available on Fridays from approx. 11:00 am to 4:00 pm
NATURE AND SCOPE OF JOB:
The Office and Logistics Coordinator coordinates, oversees and/or performs a wide range of administrative and program support/logistics activities. Inherent in the position is the responsibility to reliably provide essential support to ensure MakeSpace, its facilities and programs operate smoothly and efficiently.
QUALIFICATION AND EXPERIENCE:
- Self-starter with the ability to look ahead and anticipate operational needs
- Ability to identify and solve problems
- Organizational, communication and time management skills
- Tech-savvy
- Prior experience in an administrative and/or office setting
- Ability to follow instructions
- Flexibility to work daytime, evening and weekend hours, depending on programming needs
- Must have valid driver’s license and reliable transportation
- Ability to lift/move heavy objects (prayer rugs, tech equipment, chairs/tables etc.)
JOB OVERVIEW:
The job functions and responsibilities of the Office and Logistics Coordinator include, but are not limited to the following:
- Serve as the point person for maintenance, shopping, supplies, equipment, event set up/break down, and various errand
- Ensure MakeSpace HQ (office, prayer hall, event hall, closets, kitchen, bathrooms and attic) are kept tidy and clean; ensure the office, bathrooms and kitchen are stocked with all required items
- Coordinate logistics, facility maintenance and installation/troubleshooting of utilities to ensure efficient functioning of a professionally managed facility
- Ensure timely setup and breakdown of Jum’ah prayer at HQ and at the fire station, incl. equipment
- Ensure proper live feeds of Jum’ah prayer, events and programs, set up, trouble shoot and break down of equipment as needed
- Assist with events and programming as needed, including setup, breakdown and moving around equipment and material
- Oversee overall office supply and maintenance needs and ensure the space reflects the MakeSpace culture, mission and vision
- Assist with managing relationships with vendors, service providers and other third parties ensuring that all items are invoiced and paid on time
- Coordinate with other team members/volunteers to count donations, fill out the donation count sheet, deposit donations to the bank and upload the deposit receipt and count sheet to the appropriate Google Drive folder
- Provide general guidance and support to visitors and make them feel welcome
- Support staff by orienting and training new volunteers and interns as needed
- Other tasks and duties as assigned
- Submit bi-weekly activity/status report to HR Lead

Job Type: Part-time
Pay: $18.00 - $22.00 per hour
Schedule:
- Monday to Friday
- Weekend availability
