SUMMARY

The Paymaster/General Cashier will ensure that all the cash assets of the resort are safely kept and properly accounted for and will process payroll for the resort on a bi-weekly basis, including calculation of overtime wages, gratuities and other earning and deductions, assuring that the payroll is correct. Additionally, the paymaster/general cashier will prepare payroll reports and statistics for review by department managers and executives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

PAYROLL

  • Implements, maintains, and reviews payroll processing in a timely and accurate manner.
  • Review payroll transactions and calculations for weighted overtime, salaries, garnishments, and deductions.
  • Review Payroll updates, Personnel Action Forms, to process payments for new hires, terminations, final payments, pay rates accuracy.
  • Weekly review all department time cards completion, including notices of missed punches.
  • Verify / communicate to managers pending review, approval of weekly timecards and pending punches.
  • Weekly monitor and report hours worked based on regular Hours and Overtime thresholds.
  • Weekly Labor and Productivity preparation and meeting to Report with department heads / managers.
  • Process payroll on a bi-weekly basis with knowledge on calculations for miscellaneous earnings, service charges, commissions, Tips and all related to additional earnings for all departments, utilizing Payroll Software and computer technology.
  • Reconcile service charge liability accounts at the time of payroll payments.
  • Prepare payroll related reports and statistics.
  • Prepare biweekly payroll registers to upload in accounting system, and monthly payroll accruals and reversals as part of Month end process.
  • Payroll Quarterly reports 940-941 UCT-6 on demand
  • Annual preparation and balancing of W-2 reports.
  • Prepare Association - Shared Credit monthly Report including monthly dollar amount and hours, in excel using Pivot Table.
  • Keep organized files of all payrolls related reports and employee information.
  • Special projects pertaining to payroll using Excel.
  • Receive, administer, and deposit cash revenues.

GENERAL CASHIER

  • Cash Internal Control to safeguard the Asset from theft, robbery or unauthorized use.
  • Enhance accuracy and reliability of Cash Accounting Records with high and ethical responsibility for House Banks and main Safe use and reporting.
  • Maintain adequate levels of change, and supply cashiers.
  • Prepare cash receipts reports and balance to PMS and POS reports.
  • Verify cashiers drops and research and report variances.
  • Issue and administer cashier banks and conduct periodic bank audits, including reclaiming banks of departing cashiers
  • Administer Petty Cash disbursements and submit weekly report to Accounts Payable for replenishment
  • Prepare and administer Due Backs and Paid Outs for cashiers.
  • Prepare Daily Cash Deposits, balancing report.
  • Coordinate, follow up and track Cash deposits, once delivered with Carrier until deposits reflected in Bank accounts.
  • Maintain adequate level of cash in the Resorts ATM machine and submittal of daily settlement batches from ATM.
  • Attend department meetings.
  • Other duties and responsibilities may be assigned. The employee is expected to work in other areas of the hotel when needed to assist operations to perform job duties not necessarily contained in this job description.

Qualifications

EDUCATION / EXPERIENCE

  • Accounting Soft Skills must have a high degree of professional integrity, Attention to detail, strong foundation of confidentiality, time management, Ethical Conduct, and teamwork.
  • Be able to work in a safe, prudent, and organized manner.
  • Flexibility and adaptability.
  • Competency with Numbers and Technology.
  • Ability to perform calculations using Excel worksheets, Pivot Tables, and formulas to create ad hoc reports.
  • Ability to operate a 10-key calculator by touch.
  • Three to four years experience in similar positions and in Accounting, Hotel Environment is a plus.
  • Strong Microsoft Office skills with emphasis on Excel
  • Perform audits, reconcile accounts, apply accounting principles, financial forecasting.
  • Gatekeeper experience a plus

Ability to effectively communicate verbally with guests, department heads and co-workers required
Spanish a plus

  • Computer skillsStrong Microsoft Office skills with emphasis on Excel
