The Program Coordinator will work to strengthen and enhance undergraduate research opportunities campus wide. This position will provide support to the Office of Undergraduate Research & Community Outreach (UGR) leadership by overseeing the research placement process, annual student programming, and assist in writing and budget preparation for grant applications that align with the office’s mission. The Program Coordinator will work with prospective and current students, faculty research mentors, UGR office staff, and academic department staff to facilitate successful research placements and grant program objectives. The individual will develop strategies to engage more undergraduate students in research opportunities across all disciplines and identify areas to improve existing relationships with students and mentors. In addition, the Program Coordinator will manage the Science Made Sensible program within the Miami-Dade County Public Schools system.

Primary Duties and Responsibilities (Performs duties and responsibilities under minimal supervision)

Student Research Advising

  • Interview/advise students before submitting a research application to discern their research interests and advise on what undergraduate research entails.
  • Meet with and/or answer questions for student walk-ins seeking more information on undergraduate research.
  • Assist students in identifying opportunities for internal and external research funding, nationally competitive undergraduate research programs, and presentation opportunities.
  • Develop mechanism for regular check-ins with undergraduate researchers and when necessary, help problem solve and/or refer them to the director or assistant director.

Grant Funding

  • Assisting with writing, submitting, and managing grant proposals.
  • Maintain student records as required by the funding agency and university policies.
  • Provide programmatic support to student participants.
  • Furnish annual reports detailing the projects’ progress.

Science Made Sensible (SMS) Outreach Program

  • Assist Program Director in recruiting, interviewing, and selecting U.S. and South Africa SMS program participants.
  • Assist Program Director in monitoring U.S. and South Africa SMS undergraduates’ progress and activities.
  • Meet biweekly with the U.S. SMS undergraduates and graduate students to discuss lesson plan development.
  • Meet with South Africa SMS undergraduates biweekly during spring semesters.
  • Assist in bimonthly academic year workshops for U.S. SMS middle school and high school teachers, undergraduates, and graduate students.
  • Ordering supplies and arranging travel for undergraduates in the South Africa SMS program.
  • Provide regular feedback on undergraduate student lesson plans.
  • Organize the annual capstone event at the end of the academic year.
  • Ensure IRB compliance in all program activities as detailed in the approved research protocol.
  • Acquire student outcome data through MDCPS Assessment, Research, and Data Analysis Office.
  • Analyze data to evaluate program goals and write annual reports for South Africa SMS.

Student Programming

  • Facilitate student workshops on research related topics.
  • Conduct informational sessions on UGR services to UM entities including: student organizations, faculty committees, academic departments, and other UM offices.
  • Facilitate the application and selection processes for UGR-sponsored opportunities including: ACC Meeting of the Minds, CAS Summer Research, LSSF Symposium, and Travel Grants.
  • Represent UGR at university events for new and prospective students (Preview the U, South Florida Family Day, First-Year Fellow Resource Fair, etc.).
  • Assist in the execution of UGR-sponsored events especially those designed to share and publicize students’ research achievements such as the annual Research, Creativity, and Innovation Forum.
  • Establish and coordinate student participation in undergraduate research events.
  • Meet with UGR First-Year Fellow Liaison monthly to discuss UGR programing from a student perspective and implement initiatives to better serve student population.
  • Establish and coordinate a peer-mentoring program.

Marketing

  • Responsible for content development and sharing on UGR social media platforms.
  • Produce an annual UGR Newsletter serving as primary contributor/editor.

Office Management

  • Manage student, faculty mentor, and placement databases for accurate recordkeeping.
  • Evaluate program effectiveness through bi-annual faculty and student surveys and recommend improvements or changes.
  • Assist with assessment efforts, assembling data, write and/or edits reports.
  • Serve as UM’s Life Science South Florida (LSSF) liaison and assist with consortium event planning.

Knowledge, Skills, and Abilities:

  • Strong verbal and written communication skills.
  • Demonstrated ability to work independently and prioritize competing tasks to implement program activities.
  • Must be well organized, detail oriented, and have strong computer knowledge (including spreadsheets and database software).
  • Knowledge of student recruitment, advising, and retention strategies.
  • Self-starter with strong analytical and problem-solving skills.
  • Demonstrated ability to handle confidential information with discretion.
  • Availability to work occasional nights and weekends as required.

Education Requirements (Essential Requirements):

  • Bachelor's degree in related discipline preferred.

Work Experience Requirements (Essential Requirements):

  • Three or more years’ experience in higher education programmatic administration, academic research, and/or student advising.
  • Equivalent combinations of education/experience may be considered.
