POSITION SUMMARY
Reporting to the Director, Editorial and Publications, the Rights and Reproduction Specialist oversees all policies, procedures, and activities involving intellectual property rights for the museums collection, exhibitions, publications, programs, social media platforms, website, advertising/promotions, and merchandising. Working closely with curatorial, collections, registration, retail, marketing and communications, learning and engagement, and social impact, the Rights and Reproduction Specialist secures permissions for images and other digital content, resolves issues surrounding copyright and intellectual property, and retains appropriate documentation primarily pertaining to the museums collections. This position also manages permissions extending to related museum exhibitions, publications and programs.The Rights and Reproduction Specialist will work with the museums licensing partner on licensing museum-generated materials to third parties for all media including images, text, film, and other audiovisual work. This is an important role as we prepare for the launch of the museum in partnering across departments to support our exhibitions, publications, programs, and retail strategy.
RESPONSIBILITIES
Responds to all correspondence related to intellectual property rights and reproductions
Assists with copyright approval between copyright holders, its representatives, and requestors as needed
Collaborates on the development, implementation, and maintenance of a rights data management system based in The Museum System (TMS) and the museums Digital Asset Management System (DAMS)
Updates and maintains database of activities related to internal and external copyright and permissions including status, purpose, expenditures, approvals, expiration date and procedures of renewal
Develops and documents best practices to protect the museum from liability and maintain expertise in copyright law and IP best practices
Assists in updating existing rights records to meet appropriate standards
Leads the effort in guiding museum staff to learn copyright basics
Responsible for securing Non-Exclusive License Agreements for new museum acquisitions
Works with counsel to review rights, reproductions, and intellectual property clauses
in all museum contracts and consults with Legal Counsel on issues that require escalation
Liaises with other museum departments as needed for clearing images using permissions
Conducts research to determine intellectual property rights status, including copyright and third-party rights, for all works in the permanent collection as well as works on loan
Works with the registration team to coordinate collections photography
Provides proper image caption/credit lines for all shared images

QUALIFICATIONS
Education & Experience
Bachelor of Arts degree in Museum Studies, Art History or a related field
Minimum three (3) years of experience in intellectual property management, preferably within an art museum or image archive
Skills
Demonstrated proficiency and accuracy in using MS Office products, including Word, Excel, and Outlook
Working proficiency of Adobe Photoshop and Acrobat, FileMaker Pro, and TMS
Excellent time management, problem solving, and analytical skills
Knowledge
Advance knowledge of copyright law and digital asset management required
Knowledge of photography and photographic process, including color correction, color density, and digital image file types
General understanding of administration of museums and galleries
Understanding of digital-imaging standards and formats
Abilities
Ability to manage multiple work processes and projects simultaneously
Ability to assess priorities, take initiative and work well under pressure
Ability to work effectively and independently on a wide variety of projects concurrently, with concern for the tasks assigned, timeliness and the goals of the Department

Salary and titles will be assigned commensurate to the successful candidates education and experience. An attractive compensation package will be offered to the successful candidate.
