The Helper Bees (THB) was created to fill an obvious need in an underserved community. Inspired by love and brought to reality through passion and determination, The Helper Bees was founded to empower older adult citizens and their families in their search for quality, affordable in-home care providers. We do this by providing older adults the ability to easily review, choose, and access affordable quality in-home helpers.

One of the business units of The Helper Bees conducts nurse assessments on individuals receiving long term care insurance. The Scheduling Coordinator is the primary communicator and gatekeeper with these individuals. The scheduler’s primary function is to schedule and coordinate the flow of individuals needing an assessment completed by one of our nurses. Due to the individual requiring services by a care provider, the scheduler will communicate with either the insured themselves or a point of contact, caregiver, facility staff member, etc.

Duties/Responsibilities:
- Schedules virtual nurse assessment with point of contact, caregiver, facility staff for individual insureds
- Conducts follow up calls as necessary as we must meet specific turnaround times
- Coordinates gathering authorization for the nurse assessment
- Sends digital documentation to the assigned nurse who will conduct the assessment
- Maintains nurse schedules and database of scheduled assessments
- Manages their pipeline of referrals in our proprietary CRM admin system
- Coordinates gathering service plans from the individual’s facility as necessary
Required Skills/Abilities:
- You must possess and demonstrate strong communication and interpersonal skills over the phone
- Ability to multi-task, think on your feet and prioritize under pressure
- Maturity, patience, and empathy to diffuse clients who are frustrated, stressed, or upset
- Comfortability in reporting and being held accountable to metrics
- Ability to be successful in a very fast-paced and learning environment
- Knowledgeable in geriatric care or have a background in health care
- Must be proficient with computers and willing to learn new computer software and processes
- Must pass background check and be authorized to work in the US
- Must be able to work between the hours of 8:30am and 6:00pm CST
- Located in Austin, TX preferred but may work from anywhere within the United States
- Bilingual in English & Spanish a plus!
Education and Experience:
- High School diploma or GED
- At least 2 years in an administrative, scheduling, call center, over the phone sales, or recruiting role
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer and talking on the phone.
- Must be able to lift up to 15 pounds at times.
