Job Summary
The Meeting and Events Planning Manager is responsible for the coordination of all conference group related activities and will act as the primary liaison between the group and the staff of managed meeting space. They are the primary contact to schedule room reservations for any managed spaces within the account location. They assist with booking, room configurations, any needed presentation supplies and AV needs. They are key to ensuring conferences and events go smoothly and seamlessly.
Key Responsibilities:
- Serve as the main point of contact for assigned events.
- Offer creative suggestions and recommendations while coordinating and verifying Transportation, Meeting Room Setup, Audio Visual, and Food and Beverage.
- Establish and maintain a positive professional relationship through effective and timely communication with the client and the staff of managed meeting space to distribute a group’s needs. Vehicles: daily reports, group messages, shared mailbox, conference review, written and verbal communication.
- Support each group on the day of their event, checking in to ensure that group requirements are met before meeting kickoff and throughout the day. Follow up with the host post-event for feedback (what can be improved, what worked well, etc.)
- Host precon meetings and walk-throughs as required for events.
- Ensure complete cancellation details into the reservation system, confirming any meeting cancellations to the client by email and applying cancellation charges as appropriate
- Work with the client and the Catering team to plan standard and special food and beverage events, documenting such events within the reservation system.
- Participate in daily and weekly Planning Meetings, reviewing the details of events which he or she has been working on, answering questions from staff members, and discussing relevant logistical matters
- Communicate effectively with Strategic Partner staffs to ensure that meeting space standards are met and that contractual obligations (written and verbal) are fulfilled. Examples: janitorial, catering, facilities, etc.
- Requires ability to move quickly and frequently throughout the property several times a day, as well as some furniture movement (tables, chairs, AV equipment).
- Conduct inspections of conference facilities and submit work orders for any needed maintenance.
- Performs daily walk through of floor to ensure cleanliness and properly working equipment in conference rooms.
- Ability to utilize multiple reservations systems in order to book reservations and distribute confirmations via Gsuite.
- Track ongoing meeting requests and work proactively with key clients to maximize space utilizations rates
- Open communication with Guest Services team in regards to same and next day visitors
Preferred Qualifications:
- High School diploma or equivalent, college degree preferred
- Minimum of three years of experience in a conference center or corporate environment preferred
- Excellent organizational skills, with the ability to prioritize tasks and juggle many tasks simultaneously
- Excellent oral and written communication skills
- Strong computer skills and knowledge of office technology/equipment
- Familiarity with GSuite a plus
- Exceptional client service skills to exceed expectations
- Excelling as a team member, with a passion for delivering the Platinum Service® standard and focused on total customer satisfaction
- Work schedule varies based on the needs of the client and operation
