Job description

We are looking for an organized, full-time listing coordinator to join our real estate sales team. Your responsibilities will include overseeing all aspects of seller transactions, preparing listing information, obtaining necessary signatures for listing agreements, and managing the MLS listings. In addition, you’ll assist the Marketing Director with print materials and direct mail marketing associated with listings. Responsibilities:

Responsibilities Include:


  • Data Entry and attachment organization for all listings into Multiple Listing Service
  • Completing permit searches
  • Collect homeowners association documents for all listings
  • Maintain all paperwork on DotLoop
  • Listing status maintenance
  • KW Command for compliance
  • Open House organization for all listings
  • Create and maintain listing loops for agents on the team if applicable
  • Check that listings are showing up correctly on Zillow and Realtor.com
  • Act as point of contact for agents for anything needed for listings
  • Sit in on inspections or lister accompanies if necessary
  • Help agents with listing documentation if applicable
  • Install listing signs and lock boxes
  • Ensure all listings are stocked with showing MLS sheets
  • Connect with homeowners to obtain information regarding listing
  • Collect all HOA-required documentation and information


Assist Marketing Director with the following duties


  • Order signs, marketing material, flyers, etc.
  • Circle prospect outreach via mailers and e-mail marketing
  • Farm Market material ordering and distribution

Qualifications:

Minimum Qualifications


  • Previous professional office experience preferred
  • Ability to work collaboratively on a team
  • Tech-savvy
  • Must enjoy engaging with customers via phone and in person
  • Strong phone and e-mail communication skills
  • Real estate knowledge is a bonus but not required
  • Positive, professional attitude with a desire to grow personally and professionally
  • Highly Organized
  • Thrives in fast-paced setting
  • Detail oriented
  • Proper grammar
