HKA is working on behalf of Jacobs and this role is to support Jacobs’ work through HKA.
Monday through Friday 8:00 am - 5:00 pm
Responsibilities:
As contractors for the City, in this role, we are to receive and screen visitors and telephone calls at the reception station to be staffed by the firm at all times during the City’s business hours (currently 8 am – 5 pm except for holidays), providing first-tier responses to customer inquiries. We provide coverage for the City’s front desk reception area. We ascertain the need of visitors and callers, and direct the person to the proper department or person within the municipality to meet his/her needs. We collect and sign for all incoming and outgoing mail or express packages and maintain a log of packages, monetary receipts, carrier, sender, and recipient. We maintain and post calendars and agendas for the City Clerk, City Manager, Mayor and City Council, as well as other City boards, commissions and teams. We coordinate travel arrangements as required under the City’s travel policy for the City Manager, Mayor, City Council, and other staff as necessary. We provide dedicated administrative support and services to the City Manager’s departmental staff to provide relief from the management of administrative details. We screen visitors and callers to minimize unproductive and/or unnecessary interruptions. We respond to all inquiries as directed. We provide and maintain access to data to other City contract providers as necessary. We coordinate and assist various [internal] events such as holiday luncheon and teambuilding activities. We identify and perform other administrative assistance and reception where the firm reasonably anticipates needs, which are not specifically set forth above.
The Department’s mission is to provide all stakeholders in a transparent and efficient manner with professional, courteous, and reliable services that are timely and accurate. The ideal candidate will be professional, polished, courteous, and present a friendly demeanor as they are the front face of the City client to all citizens and customers who approach City Hall. The ideal candidate will also have a great proficiency for answering calls and using computer systems to log and transfer information as required. This is an 8a - 5pm in-office role. There is no teleworking provision for this role.
Qualifications:
- High School Diploma Required, Associate or Bachelor's degree preferred.
- Customer Service/Data Entry/Receptionist experience
- Microsoft Office: Word, Excel, PowerPoint, Suite
- Outlook 2003
- PBX/Switch Board
- Bilingual
