Summary

It the responsibility of the Receptionist to operate PBX or multi-line telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties. Responsible for administrative support to the Exhibit Transportation department and, under direct supervision, prepares regular work assignments related to the strategy of the department or work team. Professionally interacts with customers, team members, and third-party vendor/partner representatives to provide the highest level of service excellence.

Essential Duties & Responsibilities

  • Welcome on-site visitors, determine nature of business, and announces visitors to appropriate team members.
  • Answer incoming telephone calls, determine purpose of caller, and forward calls to appropriate team member or department or takes messages as required.
  • Create, maintain, and distribute telephone lists and spreadsheets as required.
  • Answer questions about the organization and provide callers with branch address, directions, and other general information.
  • Perform clerical duties as needed, such as filing, photocopying, and collating.
  • Receive, sort, and route mail, and maintains and route publications.
  • Assist with the preparation of outgoing mail/packages.
  • Coordinate all round trip transportation requirements for predetermined clients.
  • Utilize the current Exhibit Transportation shipment management system for all shipments and ensure that all necessary shipment documentation is properly prepared and distributed.
  • Effectively communicate and follow up with selective partner carriers to ensure transportation requirements are met.
  • Obtain most competitive freight quotes in a timely manner and communicate suggested retail pricing to account executives.
  • Communicate shipment details with Freeman Exhibit Transportation staffs, account executives, account managers, and project managers.
  • Communicate pertinent information to internal companies and departments to ensure seamless exhibit transportation services.
  • Utilize carrier software programs to monitor and manage all tendered shipments.
  • Perform other duties as assigned.

Education & Experience

  • High School Diploma or equivalent
  • At least two years in the transportation industry
  • Type 40 wpm.
  • Excellent 10-key by touch skills.
  • Proficient in Microsoft Word and Microsoft Excel
