General Job Function
:

Provide General & Clerical Support to the Business Services Department, particularly Payroll (PR) and Accounts Payable (AP) as needed

Education/Training/Experience:

  • High School Diploma
  • Previous Office manager experience preferred

Knowledge/Skills and Abilities:

  • Knowledge of Microsoft Office (Word & Excel) and Google Suite preferred, but training provided
  • Knowledge of basic office equipment, including scanners, 10-key and postage machine preferred, but training provided

Resources Used in Performing Job Include (but are not limited to):

Standard office equipment and vehicle for district travel. A district car may be used or if the employee uses his/her own vehicle mileage reimbursement is available.

Physical/Cognitive Requirements:

Regularly required to walk, talk and listen. Frequently is required to stand and sit. Required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, and depth perception. Light lifting at times.

The noise level in the work environment is usually moderate.


Essential Job Functions
:

  • Create and Maintain Employee Folders
  • Printing/emailing check stubs or distribution lists for employees or records
  • Sort and scan all payroll documents, including extra-duty and timesheets, in a prescribed manner
  • Retrieving all PR and AP files, as requested by auditors and/or management
  • Prep and Review all incoming payroll-related documents for completeness and follow-up with office managers and/or admin assistants to correct any discrepancies
  • Sort and distribute incoming mail
  • Assist with Deposits, as required
  • Clerical support, including assistance with mailouts and check and W2 distribution, as needed
  • Fill in for Receptionist, as needed, to include answering and routing phone calls
  • Other related duties, as assigned

  • Demonstrates reliability as evidenced by attendance records and punctuality.
  • Properly notifies supervisor and/or designee of absences or tardiness.
  • Begins and completes work within the allotted time.
  • Consistently appears in attire appropriate to the work environment.
  • Demonstrates skill in the use of equipment including its capabilities, limitations and appropriate/special application,
  • Protects the District’s resources through appropriate and careful use of supplies and equipment.
  • Utilizes appropriate body mechanics to aid in the prevention of muscle strain/injury.
