Job Description
The Patient Services Coordinator uses a patient-centered approach – providing a welcoming environment from phones to front desk, and assisting with all the administrative steps in supporting patient access. This is a busy work environment – and the job requires attention to detail, flexibility, and the ability to communicate and connect with coworkers and patients. The ideal candidate is self-motivated and seeks answers to questions while actively engaging in ways to help others. Specifically, responsibilities and duties include:
- Warmly answering incoming calls and assisting callers by answering questions or transferring calls to appropriate teams.
- Checks voicemail and answers clinic/provider phones
- Scheduling patient appointments and peer-to-peer reviews in Athena (EMR).
- Assisting patients with any questions they may have while checking in for their appointments.
- Accurately collecting copays from patients in Phreesia if applicable.
- Creating new patient charts by accurately entering demographics and insurance information.
- Maintaining existing patient charts by updating them with appropriate information as necessary.
- Sorting incoming faxes in Athena and distributing appropriately.
- Scanning inbound documents into correct patient charts.
- Uploading imaging CD’s into Inteleviewer and scanning imaging reports into Athena.
- Working the front office inbox tasks in Athena.
- Processing Medical Records requests.
- Reconciling daily revenue collected at the end of each day as directed.
- Providing pricing, availability, and schedule information within established guidelines.
- Excellent verbal and written communication skills.
- Communicating effectively and remaining calm and courteous under pressure.
- Respectfully taking direction from supervisors.
- Participating in department and interdepartmental meetings as necessary.
- Maintains confidentiality with all patient information according to HIPAA laws
- Maintains safe, secure and healthy work environment by following, and enforcing standards and procedures; complying with legal regulations.
- Performing other related duties as assigned or requested to contribute to the team effort.
Job Requirements
- Minimum Education: Associate’s degree; or high school graduation with relevant work experience.
- Previous customer service, front office or reception experience.
- Previous experience working in a medical setting.
- Previous experience working with an EHR (Athena preferred).
- Passion & commitment to friendly, responsive, professional customer care.
- Ability to maintain strict confidentiality and follow all HIPAA guidelines.
- Bilingual (Spanish) preferred but not required.
- Up to date with COVID-19 vaccinations, required

- Must be able to communicate effectively with patients, families, and clinic staff in accordance with established policies and procedures

- Intermediate computer skills and experience, including Word, Excel, Outlook.
- Highly skilled at (or ability to learn quickly to high capability to) accurately update and navigate EMR (Athena Health experience preferred),
- Performs tasks associated with obtaining insurance authorizations and benefit information for office visits, procedures

Hours, Pay, Benefits
Status: Full-time (35-40 hours/week)
Hours: 4 x10 hour days (Overall clinic hours are Monday through Thursday 6:30am-5pm).
- On occasion, patient care schedule will define the length of day.
